Job Summary

The Grants Manager will manage the sponsored program projects from pre-award through post award while supporting principal investigators (PI’s) on proposal development, budget development, and related pre-award requirements and submission for a diverse sponsor portfolio. The portfolio includes basic, translational and clinical science. The sponsor includes National Institutes of Health (NIH), governmental authorities (e.g., Commonwealth of Pennsylvania), foundations, and industry.

Essential Functions
  • Prepare complex, multiple-year budgets for Federal, state, industry-sponsored projects, private sponsors for grants and service contracts. Review budgets with PI and Department Administrator.
  • Prepare salary budgets utilizing employee compensation rates, appropriate fringe benefits rates, and approved escalation rates
  • Advise PI’s of budget restrictions and applicable rates for Facilities and Administration (“indirect costs”) for various types of proposals
  • Advise investigators on sponsor’s instructions regarding the application, grant budget, allowable costs, and applicable indirect cost rates
  • Interact with PI’s on the preparation of both sponsor and institutional forms to ensure all submission documents are completed properly
  • Route grants and service contracts for signatures as per established processes and to meet deadlines
  • Enter all agreements into the University’s Research Inventory System (COEUS/InfoEd). Will enter proposals into ASSIST for submission by Research Administration when necessary.
  • Develop and maintain a comprehensive calendar that includes a schedule for developing grant applications to meet all deadlines of Drexel University and sponsors. Gather all required information from sponsors as needed.
  • Work with Department Administrator and PI to reviews all grant contracts prior to submission to the Office of Research and Innovation (ORI) to ensure all information is completed before submission.
  • Perform all other duties involved in pre-award activities not mentioned above.
  • Monitor the creation of new fund numbers appropriate to funding source and activity
  • Confirm that information for approved budget is set up in Banner or other electronic platforms
  • Ensure approved rate and application of indirect costs for project budgets
  • Meet with PIs and Department Administrator on a regular basis for a review of revenues, expenditures, available balances, and encumbrances on their sponsored projects
  • Track routing of grants and contracts from initiation to full execution and implementation
  • Facilitate the submission and payment of invoices in a timely manner
  • Work directly with the Department Administrator, PI, ORI and Office of the Comptroller (Research Accounting Services) to resolve issues and discrepancies
  • Work with Principal Investigators to establish appropriate effort of personnel for certification for each sponsored project. Review information with Department Administrator
  • Review funding sources for all employees on monthly basis; run payroll reports to confirm correct funding sources and labor distribution; investigate and resolve errors
  • Update funding changes each month per payroll deadlines and route proper paperwork
  • Maintain history of funding sources and labor distributions for all employees
  • Prepare retroactive salary reallocations and labor distributions
  • Present quarterly reports to PI’s and Department Administrator, which provide a detailed financial status of all active grants, inactive grants with outstanding issues, and expiring grants over next fiscal period
  • Manage all project closeouts including clinical trials and other clinical research
  • Provide input on policies and procedures related to grant submission and administration within the institution as needed
  • Perform other duties as assigned
Required Qualifications
  • Bachelor’s Degree
  • 3 - 5 years
Preferred Qualifications
  • Familiarity with NIH (e.g., ERA Commons) and industry funding mechanisms is strongly preferred. Experience preparing complex multiple-year budgets is required.
  • Grant application experience is required, Knowledge of COEUS, Info-Ed or other grants management software is desirable.
  • Familiarity with internal Drexel University financial management tools (Banner, Hyperion, COEUS, Info-Ed, Web Finance, Web Salary) is a plus.
