Job Summary

The Department of Design at Drexel University is seeking someone to perform administrative, clerical, and secretarial work.

Essential Functions
  • Responsible for greeting and directing visitors for the Department of Design. Serves as first point of contact for all inquiries and assistance for faculty, staff, students, and the public.
  • Maintaining general operations of the Design office (supply management, accepting deliveries, providing access to maintenance, coordinating any facilities requests).
  • Editing and producing email correspondence for the department of design.
  • Coordination of adjunct faculty hiring and their assignment in Banner and gathering all required documentation and Human Resources paperwork for adjunct professors.
  • Managing social media accounts and the website content for the Department of Design. Assisting students and faculty. Supervision and scheduling of work-study students.
  • Arranging travel and accommodations for faculty members and parking for guests.
  • Assist Program Directors with scheduling, section balancing, and curriculum changes via course leaf.
  • Providing other support as needed including P-Card and PAR reports
  • Event planning for the educational and professional seminars and programs for the design programs.
  • Student and faculty library/collections management as needed.
  • Coordination and support of the End of Year Shows.
  • Support for new faculty with AEFIS, BBLearn and Teams.
  • Department Head scheduling
  • Support of the Department of Design High School programs including applications, payment, supplies. TA hiring and attendee inquiry management for programs in Fashion, Design & Merchandising, Photography, Graphic Design and Product Design.
Required Qualifications
  • A Bachelor's Degree or 10 years professional experience.
  • Two years of work experience in office coordination duties or related to the stated responsibilities.
  • Excellent computer skills including Microsoft Office 365 software and Adobe Creative Suite; Banner and Web Finance.
Preferred Qualifications
  • Ability to assist faculty and students with carried slate of work demand related to academics, administration, and events.
  • Excellent computer skills including MS Office software and Adobe Creative Suite; Banner and Web Finance are desirable. Excellent communication skills (verbal and written}, interpersonal, analytical and organizational skills and social media expertise are required.
  • Ability to multi-task, take initiative to problem solve and to be proactive in a fast-paced environment with minimal supervision.
  • Ability to prepare appropriate correspondence, record keeping, presentations and a variety of administrative tasks for the department as assigned.
  • Excellent interpersonal skills, with the ability to interact professionally with students and faculty in a busy, service-oriented setting
