The Open Society University Network (OSUN), based at Bard College, seeks a full-time Program Assistant to develop and implement administrative processes to support a global network of 40+ partner institutions. In close coordination with the OSUN Secretariat staff, the Program Assistant will organize meetings of network working groups, compile information on OSUN programs, arrange travel and meeting logistics, reconcile expenses, and provide general administrative support. This is a full-time, non-exempt position.

Responsibilities:
  • Initiate, manage, and complete a range of concurrent administrative activities
  • Develop and implement administrative processes to facilitate coordination among OSUN partner institutions
  • Prepare and execute work plans for completion of cyclical administrative tasks
  • Track progress of OSUN working groups and prepare calendar for meeting and events
  • Schedule and coordinate OSUN working group meetings and program events
  • Draft meeting minutes and action items
  • Compile updates and details on OSUN programs and assist preparation of reports on OSUN activities
  • Make travel arrangements and meeting schedules for OSUN Secretariat staff
  • Coordinate visitor schedules and accommodations
  • Draft correspondence and coordinate calendars and meetings for OSUN Secretariat staff
  • Organize OSUN meetings and events at Bard
  • Review and reconcile expenses in compliance with Bard and OSUN policies
  • Prepare payment requests and purchases in coordination with OSUN finance team
  • Organize and maintain OSUN electronic files
Qualifications
  • Bachelor’s degree
  • Strong written and verbal communications skills
  • Excellent interpersonal skills
  • Highly organized and detail oriented
  • Strong initiative with excellent follow through and sound judgment
  • A self-starter with a positive attitude who finds that no task is too small and all tasks are integral to OSUN’s success
  • A team player with demonstrated success in working with and for diverse students, faculty, and staff
  • International experience strongly preferred
  • Proficiency with Google Suite, Microsoft Word, Excel, PowerPoint, and internet research
  • Ability to learn Salesforce
Physical Demands
  • Must be able to sit for extended periods of time and work in standard office environment
  • Must be able to occasionally lift 20 pounds
  • Must be able to work occasional weekends and evenings as needed
