Vacancy Number: S-00783 Position Title: Senior Administrative Associate Classification Title: Senior Administrative Associate Department: College of Nursing and Health Sciences Administration Employment Type: Full-Time Duties and Responsibilities:
The College of Nursing and Health Sciences welcomes applicants for the Senior Administrative Associate. This position will assist in a variety of administrative detail matters; determine the need for, prepare specifications and process requisitions and material receipts for supplies and forms; oversees maintenance of building; maintain and supervise a large or complex filing system; analyze complex files and file materials; create, sort and file correspondence, reports, records, and other documents by established categories.

Senior Administrative Associate

Maintain the Dean’s calendar, schedule travel, conferences, etc. Assist with scheduling meetings and maintain databases as needed for accreditation and other reports.

Assist with the coordination and set up for school events such as the White Coat Ceremony, Pinning and Hooding, Donor Recognition Event, Sigma Theta Tau, and others. Distribute the workload and serve as the primary point person for these events as they represent the Dean’s office.

Greet the public and directs to proper offices; answer questions and give non-technical information; interpret and advise staff and public on rules, regulations, and procedures; receive and resolve complaints; arrange appointments, interview callers and prospective employees; check and analyze complex documents and budget information for completeness, accuracy, and proper coding according to standard procedures and ensuring compliance with applicable rules and regulations.

Maintain attendance, personnel, time, payroll, inventory, accounting, financial, and clinical contracts where technical knowledge of established policies and procedures is required; maintain confidential records and/or documents.

Compile, set up, and type reports, special studies, work sheets, correspondence, and statistical reports and tables; transmit assignments to staff; coordinate with departmental representatives in collecting and disseminating information; and proofread material for accuracy.

Coordinate activities involving the distribution and receipt of information from departments or units within the assigned area.

Coordinate the work of other staff including administrative personnel, student workers, and part-time employees.

Coordinate meetings of school and external groups using the School of Nursing building.

Represent the College of Nursing and Health Sciences on various university committees such as the Financial Liaisons Committee as assigned. Participate in admission, progression and graduation committee work and attend SON meetings as needed.

Maintain College of Nursing and Health Sciences website and Facebook accounts.

Develop reports and accreditation information as needed; maintain a database of enrolled students and progression to graduation. Prepare all communication related to student progression, deceleration, and graduation.

Work with the FNP coordinator and Department Chairs to secure clinical affiliation agreements with external agencies as needed.

High school diploma or equivalent and three (3) years of secretarial/administrative experience is required. Additional relevant education may be substituted for experience requirement.
