The Director of Advancement Gifts & Records is the leader of the gift and biographical data processing team in the office of Advancement Information Services. The Director of Advancement Gifts & Records reports to the AVP of Advancement Information Services and serves as a member of the Gift Acceptance Committee. The Director establishes and leads execution of all departmental policies and procedures, industry best practices, and regulatory and audit requirements including those outlined by CASE, AASP, CAE, and the IRS.  The Director of Advancement Gifts & Records will serve as a member of the CRM Implementation Team as the lead technical and business resource for the department with responsibilities that include data mapping, collaborating on departmental requirements for automation and workflow design, executing testing and creating business process and training documentation.

 

  1. Oversee gift and biographical records processes and staff in the office of Advancement Gifts and  Records. This includes:
  • Personnel recruitment and employee professional development;
  • Monitoring of processes and procedures to ensure accuracy and efficiency;
  • Prioritizing and assigning projects;
  • Identifying areas for improvement and implementing solutions; 
  • Developing key performance indicators that demonstrate effective management of operations;
  • Assisting with gift processing when required; 
  • Managing the departmental budget;
  • Acting as liaison to the JMU Foundation team;
  • Attending/Contributing/Presenting as required in Director/LEAD meetings; 
  • Collaborating with University Advancement directors on all divisional initiatives;
  • Monitor industry standards regarding gift accounting and reporting for not-for-profit institutions: 
    • Stay abreast of changes associated with IRS regulations and FASB, CAE, and CASE standards; 
    • Communicate industry changes with relevant staff, including divisionally;
    • Based upon discoveries, modify the department’s policies and procedures; 
    • Serve as first reviewer of gift agreements and recommend changes to language and/or criteria based on in-depth knowledge of regulations.
  • Maintain a high standard of customer service in order to continuously improve donor relations/stewardship:
    • Ensure proper handling, recording, receipting, and acknowledgement of gifts and pledges.
  • Assist with special projects and assignments relating to the implementation of a new CRM:
    • Serve as the lead technical and business process resource for the office of Advancement Gifts & Records; 
    • Understand and translate the departmental business requirements associated with the new CRM in order to clearly communicate with technical staff both internal and external; 
    • Document the requirements for new or revised output processes, automations and reports;
    • Participate in data mapping and workflow design.
  • As a key member of the CRM implementation team:
    • Assist with the development of test scripts for gift & biographical related data; 
    • Participate in testing of all gift and records migrated data, related business processes, automations and reporting;
    • Document new system and business processes for training end-users.

     

    Required Qualifications:

    • Bachelor’s degree in Information technology, Accounting, Banking or an equivalent combination of relevant education and experience.
    • Verifiable commitment to leading a culture of continuous improvement; 
    • Proven history dealing with and managing change initiatives. 
    • Demonstrated ability to analyze current processes and collaborate with others to create improvements or recommend new automation processes;
    • A thorough knowledge base and understanding of charitable revenue handling in a large organization, as well as fiscal control policies and procedures, accepted IRS, CASE, CAE reporting and AASP standards and procedures, and fundraising database processes and procedures.
    • Ability to communicate effectively both orally and in writing to individuals with a variety of skill sets and professional requirements;
    • Ability to formulate solutions recognizing the needs of a diverse set of concerns, such as accounting, fundraising, and donor recognition;
    • Demonstrated experience working in and fostering a diverse faculty, staff and student environment;
    • Supervisory experience; 
    • Experience with financial transaction processing; 
    • Experience with cash management; 
    • Ability to maintain confidentiality with personal and sensitive data; 


    Preferred Qualifications:

    • Track record of aligning unit goals to greater organizational goals and leveraging institutional knowledge to advance programs, services and offerings; 
    • Demonstrated strong project management and planning skills and experience with the ability to coordinate multiple assignments with competing deadlines; 
    • Excellent planning skills with the ability to identify, clarify and articulate a project’s purpose, goals and outcomes; 
    • Translate departmental needs and functional requirements into innovative specifications, project plans, technical requirements, rigorous testing processes, and communicate with IT staff /consultants to deliver timely solutions;
    • Experience in business processes and process mapping; 
    • Relevant experience with software as a service, customer relationship management systems and infrastructure as a service;
    • Demonstrated understanding of the interdependencies of systems (ecosystem) and how decisions related to one system will or can impact downstream and cross departmental systems/outcomes.
