Job Description:

BASIC FUNCTION:

The Office Coordinator for the Academic Center for Excellence (ACE) provides reception and administrative support for ACE, Disability Services and the Office of Academic Advising as needed. This is a full-time, 35-hour/week, 9-month academic year position.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

CUSTOMER SERVICE:
  • Serve as the initial contact person for students, staff, faculty and others seeking assistance or support from the staff of the various office of Student Academic Success Services; direct visitors to appropriate ACE or Disability Services professional staff as needed.
  • Provide students information about academic support services offered and assist with appointment scheduling as needed;
  • Monitor & communicate via the ACE email and telephone.
ADMINISTRATIVE SUPPORT:
  • Accurately transcribe meeting minutes at ACE staff meetings and store them appropriately on the shared drive;
  • Take inventory, monitor, and order ACE supplies and resources as needed;
  • Prepare forms, correspondence, posters, flyers as requested
  • Request updates/changes to ACE or other relevant website pages via the Communications Department;
  • Receive, secure, and monitor the collections of exams from faculty for students registered with the Office of Disability Services;
  • Maintain and organize department files
  • Update and maintain ACE social media accounts (Facebook & Instagram);
  • Other administrative duties as assigned by the Executive Director of Academic Success Services
  • Assist in planning and executing ACE events
SYSTEMS & DATA MANAGEMENT:
  • Maintain appointment records and other center data in TutorTrac;
  • Assist director and other professional staff in running and compiling data for reports as needed
  • Update ACE calendar (Microsoft Outlook)
  • Use Colleague to search for information as requested
SUPERVISORY

Assist with hiring, training, and payroll for student employees (excluding subject and writing tutors). Support ACE coordinators in supervising tutors (work study students) working reception shifts at the front desk

OTHER DUTIES AND RESPONSIBILITIES:

Other duties and special project as assigned or requested by Other administrative duties as assigned by the Executive Director of Academic Success Services


Requirements:
  • High School Diploma or GED with 1-3 years if customer service experience required;
  • Proficient computer skills required, with knowledge of Microsoft Office (Word, Excel, Outlook, Teams), capacity to use campus information technology and tutoring management software & systems;
  • Strong oral and written communication, organizational, and interpersonal skills are required;
  • Familiar with HIPAA and/or FERPA;
  • Must be able to work independently;
  • Ability to skillfully multi-task while remaining calm and pleasant;
  • Excellent attention to detail, problem-solving skills;
  • Must enjoy interacting with people, especially college students, and be socially skilled in handling a wide variety of people, situations and requests;
