Undergraduate/Graduate Nursing Programs

JOB SUMMARY:

Provide very heavy and professional clerical and administrative support for the Academic Standards Chair, faculty, Deans and Office Manager. Assists 2,000+ students with inquiries, problems, and general CNPH/University policies and procedures. Incumbent is lead of the Academic Standards Audit each semester. Provide back-up support to all other CNPH areas.

REPORTS TO: Assistant Dean and Office Manager

PROVIDES SUPPORT TO: Chair of the CNPH Academic Standards Audit. As well as the CNPH Deans, CNPH Faculty and Office Manager.

RESPONSIBILITIES & DUTIES:

For Academic Audit each semester
  1. Leads and oversees with the assistance of the Chair of The Academic Standards the Academic Audit for all CNPH students. (5 times a year)
  2. Review all nursing student failures in nursing and pre-requisite nursing courses
  3. Determine student status: probation or dismissal and send out notification letters in consultation with the Assistant Dean, Associate Dean and Chair of The CNPH Academic Standards for Undergraduate & Graduate Programs
  4. Create spreadsheet with all information
  5. Prepare student files for appeals process, including students' appeal letter
  6. Provide all appeal information, spreadsheet and student files, to Academic Standards Committee
  7. Notify students of the Academic Standards Committee's decision on the appeal
  8. Update spreadsheet and students' files.
  9. Provide Registrar with “Schedule Form after each audit.

Communications and Customer Service
  1. Maintain student records
  2. Process drop/add academic petitions and registration forms for students in the undergraduate and graduate programs.
  3. Assist students with scheduling and registration concerns.
  4. Assist with final exam conflicts in conjunction with other administrative assistants and the Office of the Registrar.
  5. Responsible for Change of Grades request for undergraduate leve l programs
  6. Responsible for converting of all undergraduate midterm and final exams via Examsoft each semester.
  7. Coordinate registration schedule and clusters alongside CNPH administrative assistants.
  8. Attend University training programs as often as necessary to remain proficient in using.
  9. Provide information, as directed, to faculty, students, employees, and the general public.
  10. Interact with students, staff and administrators throughout the University to resolve problems.
  11. Respond to routine inquiries regarding departmental matters.
  12. Answer telephone calls; screen incoming calls and forwards/refers calls; assist in maintaining up-to-date mailing and telephone directories.
  13. Furnish information on the department's rules and regulations, when authorized.
  14. Assist with arrangements for special events, such as conferences, commencement, White Coat Ceremony and Pinning. Support responsibilities may involve reservation of rooms, catering services, informing the relevant departments/units, preparation and dissemination of materials, etc.
  15. Perform routine upkeep of office equipment, e.g., photocopier, computers, printers
  16. Receives and distributes mail for CNPH
  17. Take Committee Meeting minutes
  18. May serve on committees when authorized
  19. Assist in training new employees and student employees in various office duties/use of office equipment.
  20. Prepare Facilities or Information Technology work orders.
  21. Responsible for ordering office supplies and water for all CNPH areas.
  22. Perform other job-related duties as assigned
  23. Will be responsible for backing up other CNPH staff members as needed.

REQUIREMENTS: (Knowledge, skills and abilities)
  1. Advanced computer skills for using Windows, Microsoft Word, Excel, CLASS, Data360, Degree Audit, eSAAS, Moodle, Navigate, SAAS, Email/Google Calendar and Google Suites (docs, forms and sheets).
  2. Ability to prioritize workload according to volume, urgency, etc.
  3. Good organization skills and attention to detail.
  4. Good interpersonal, verbal, and writing skills.
  5. Ability to handle multiple tasks effectively and accurately.
  6. Ability to be discrete and maintain high confidentiality on a wide range of issues.
  7. Ability to work with students and colleagues in a diverse environment.

PHYSICAL REQUIREMENTS:
  1. Ability to sit at a desk for long period of time.
  2. Ability to work on a computer for long periods of time.
  3. Ability to open drawers and file paperwork.

EDUCATIONAL/EXPERIENCE REQUIREMENTS:
  1. Bachelor's degree required.
  2. A minimum of two 2 years of Administrative Assistant, background required.

HOURS:
  1. Monday - Friday, 9:00am - 5:00pm.
