JOB SUMMARY:

The Paralegal and Assistant to the CCCR is responsible for the Community Concerns and Resolutions Office's administrative functions and special projects. The primary purpose is to assist the CCCR with daily responsibilities, which include; providing professional support, overseeing the day-to-day workflow, complaint database input and tracking, policy support, reporting and compliance, internal/external communications and other various projects.

REPORTS TO: Chief of Community Concerns and Resolutions, dotted line reports to: External University Council for guidance

RESPONSIBILITIES & DUTIES:
  1. Assist the CCCR with conducting legal research and gathering relevant information.
  2. Draft legal documents and other applicable correspondence.
  3. Summarize investigations, hearings and disciplinary meetings.
  4. Conduct subsequent interviews with witnesses and clients, as directed by the CCCR.
  5. Provide administrative support to the CCCR, including scheduling meetings with internal and external constituents.
  6. Maintain the office's complaint tracking system. Intake, log and organize complaints for the CCCR. Keep track of the complaints from the beginning to the end of the complaint process.
  7. Maintain an organized filing and record system, including confidential files.
  8. Remain current on all relevant state and federal laws and regulations.
  9. Assist the CCCR in developing and reviewing that all policies and procedures meet all relevant legal requirements.
  10. Serve as the office's initial point of contact, interacting with staff, faculty, and students.
  11. Builds positive relationships to serve as a resource for the CCCR and point of contact as designated for key constituents and university leaders to resolve complex issues and help move forward strategic priorities.
  12. Collaborate and partner with Student Affairs, Human Resources, Public Safety, Provost Office and Executive Leadership.
  13. Participates in key meetings with faculty, administrators, and others as needed and delegated. Accurately represents the department in internal meetings and discussions to help drive understanding and move decision-making forward.
  14. Assist with intake or analyzing of complex issues that may be of a confidential nature.
  15. Assist in analyzing data with regard to special projects that are being managed.
  16. Assist the CCCR with training as needed.
  17. Take and transcribe meeting minutes and follow up with agenda items with individuals and/or departments.
  18. Conduct follow up on pending matters.
  19. Prepare standard correspondence as well as more complex communications.
  20. Prepare materials needed for conferences, correspondence, meetings, telephone calls, etc.
  21. Prepare reports, summaries, or replies to inquiries, selecting relevant information from a variety of sources.
  22. Manage project resource allocation as well as plan and schedule timelines.
  23. Track all project deliverables by monitoring and reporting progress.
  24. Facilitate discussions as needed to advance project.
  25. Prepare presentations, as directed by the CCCR.
  26. Perform other job related duties as assigned.

REQUIREMENTS: (Knowledge, skills and abilities)
  1. Exceptional communication skills - with a focus on writing skills.
  2. Exceptional interpersonal skills.
  3. High Level of organization and attention to detail.
  4. Advanced Excel, Word, and PowerPoint and other necessary software skills.
  5. Ability to work in a highly confidential, fast-paced setting and uphold a strict level of confidentiality.
  6. Ability to analyze financial data or other project information.
  7. Ability to prioritize workload according to volume, urgency, etc. and meet tight deadlines.
  8. Ability to work independently, take initiative, with minimal supervision.
  9. Knowledge of University policies and procedures.

EDUCATIONAL/EXPERIENCE REQUIREMENTS:
  1. Bachelor's degree required.
  2. Master's degree preferred.
  3. Minimum of three years' experience as an executive legal assistant or paralegal.
  4. Paralegal certificate obtained through either an American Bar Association (ABA) approved paralegal studies program or an accredited institution required.
