Job Description

This position will be responsible for hiring, training, supervising and developing an effective team of students to run two information desks as well as managing conference room spaces in three buildings across the NAU Flagstaff Mountain campus. This position will work in conjunction with the Reservations Coordinator to coordinate staffing needs for event set up, support, and tear down. This position will be responsible for working with the building coordinator for any building/maintenance issues and tracking work order requests. They will also be responsible for keeping track of equipment – location, maintenance, repair, etc. This person will jointly supervise the two Campus Services and Activities Graduate Assistant positions.

Description:

  • Responsible for overseeing the hiring, training, evaluation and overall supervision of the Student Unions and Activities student staff (approximately 40-60 students).
  • Jointly supervise two graduate assistants who assist in event management and staff supervision.
  • Maintain equipment inventory, as well as equipment maintenance. Equipment includes tables, chairs, stage decks, bleachers, AV equipment and other event related equipment.
  • Collaborate regularly with the Reservations Coordinator, and with the Campus Event Operations and Support Event Coordinators, to determine event staffing needs as well as specific event set up and tear down.
  • Responsible for scheduling staff for meetings/events.
  • Responsible for working with student staff to ensure conference and meeting rooms are set, cleaned and maintained.
  • Oversee coordination information desk staffing and training.
  • Collaborate with the director and Building Coordinator regarding building issues/maintenance needs as well as building hours.
  • Some coordination with student club and organization representatives on event details.
  • Work in tandem with event coordinators to coordinate equipment rentals, deliveries and returns.
  • Attend large scale events to provide additional supervision and event management.
  • Work with the Yellow Bike Program – manage the check in/check out processes.
  • This position will report to the Campus Event Operations and Support Director.

Minimum Qualifications

  • Associates or bachelor’s degree and
  • 2-4 years of progressive coordination experience or
  • A combination of related education, experience, and training.

Preferred Qualifications

  • Master’s degree in student affairs, education or other related field.
  • Experience with event planning and coordination.
  • Experience working with a student staff.
