Administrative Specialist

Sociology & Criminology Department, College of Liberal Arts and Sciences

Butler University is seeking an experienced individual to fill the position of Administrative Specialist for the Sociology & Criminology Department in the College of Liberal Arts and Sciences.

Responsibilities:

Provide administrative support for the faculty and staff in the department, working closely alongside the Chair of the department.

The administrative specialist will:

  • Serve as the primary point of contact for the department, facilitating communication between students, parents, faculty, administrators, and others.
  • Provide full clerical and general office support to the Sociology & Criminology department chair, faculty, and students. This may include, for example, preparing email correspondence, helping with software, and assisting in routine departmental duties such as scheduling of student advising, photocopying, and answering and routing telephone calls and visitors.
  • Maintain departmental records and database files, including budgets and student payroll, research and internship information, majors/minors, and alumni student information; schedule meetings, equipment, and room reservations; and order office supplies.
  • Assist the department chair with the development of the year-long course schedule and be primarily responsible for entering the schedule in PeopleSoft.
  • Provide support to students, including answering basic questions about department curricula and assisting with registration via PeopleSoft.
  • Assist the department chair with preparing adjunct contract information for the Dean’s office.
  • Hire and supervise student employees.
  • Provide information and materials needed for new full-time and part-time hires and coordinate with other university offices.
  • Design flyers for departmental events.
  • Assist with the maintenance of websites, bulletin boards, and other media platforms.
  • Attend department meetings and generate meeting minutes.


Minimum Qualifications:

  • Bachelor’s degree with two years of administrative experience
  • Strong organizational, written, and verbal communication skills
  • Demonstrated ability to work independently and to manage multiple priorities
  • Strong computer skills, with proficiency in Microsoft Word, Excel, and other Microsoft Office programs
