Job Summary:
This is a 40 hour per week, exempt/salaried position. The Executive Assistant (EA) to the Chief Financial Officer (CFO) exercises mature, well-honed foresight, judgment, creativity, and flexibility in support of the CFO in accomplishing the strategic and tactical operations of the Finance Division on behalf of Lake Michigan College. With a high standard of professionalism, discretion, and confidentiality, the EA uses their strong communication and independent thinking skills to operate effectively, deal with a variety of situations, and anticipate and solve problems. The EA possesses an innate and functional understanding of executive management, institutional operations, and administrative activities.

Essential Functions:
1. Primary Point of Contact on Behalf of CFO On behalf of the CFO, in interactions with incoming and outgoing contacts, the EA creates an environment of communication and interface consistent with the CFO’s manner and guidance. Acting as the CFO’s representative, the EA conducts routine correspondence with both grace and efficiency in responding to requests and resolving issues. The EA cultivates a network of productive working relationships essential to the operations of the CFO office and Finance Division. 2. Management of CFO Initiatives, Activities, and Daily Preparation Working closely with the CFO, the EA completes projects that span a wide variety of issues and require creating spreadsheets, charts, presentations, and reports. When independently managing complex, specialized projects, the EA analyzes financial and other data and produces qualitative and quantitative observations and recommendations. On a continual basis, the EA manages the CFO’s calendar, including proactively scheduling, organizing, handling logistics, supporting internal and external meetings, and prioritizing/resolving scheduling conflicts. The EA facilitates meetings by preparing agendas and taking/distributing meeting notes, including for routine meetings of Finance Division. The EA is highly responsive and timely, accomplishing work with thoroughness and accuracy. 3. Administrative Management of Finance Division The EA assists the CFO with day-to-day administrative management of the Finance Division. The EA manages Finance Division policies and procedures, including helping to create or change, implement, and enforce Divisional policies and procedures. The EA is responsible for managing Finance Division documents. When requested, the EA provides hands-on assistance with the work of the Finance & Accounting, Human Resources, and IT departments. 4. Portfolio of Projects In addition to supporting and executing projects for the CFO, the EA independently manages a range of projects and researches, prioritizes, and follows up on multiple incoming issues. The EA uses strong critical thinking skills to determine the appropriate courses of action, including making referrals and/or offering responses. When requested, the EA provides this same support for the Finance & Accounting, Human Resources, and IT departments, as well as for the college. 5. Day-to -Day Administration The EA performs a range of functions that require broad knowledge of office operations and administration. These functions include general clerical duties such as processing mail; scanning, copying, and filing documents; routing invoices; making travel arrangements; filing expense reports, and entering data.

Other Duties:
The EA may supervise student workers and perform other duties as assigned.

Accountabilities:
The EA to the CFO works independently on standard tasks and under the direct supervision of Divisional leadership on complex projects analyses and tasks. The EA undertakes a range of complex projects and administrative tasks and maintains comprehensive, accurate, and well-organized records.

Job Specifications:
· Bachelor’s degree preferred. Degree in accounting highly preferred. Associate degree required. · Education in accounting required; direct work experience in accounting, in addition to education, preferred.· Five or more years of progressively responsible experience required, which must include knowledge of maintaining accurate financial records. Higher education experience preferred. · Excellent information management and computer skills required, including mastery of Excel and Word. Must be highly computer literate, comfortable working with financial data, and able to analyze large volumes of data.· Uses strong critical thinking skills, independent initiative, excellent judgment, collaborative decision making, and maintains a high level of confidentiality. · Demonstrated project management skills including research, analysis, and problem solving. Ability to effectively handle multiple, simultaneous, and complex tasks and projects.· Ability to interact and communicate effectively with faculty, staff, students, and the public in a professional manner that reflects positively on the Finance Division and Lake Michigan College.
