Position Primary Purpose and General Responsibilities
As a member of the School of Medicine Dean’s Office of Research Administration ( SOMRA ) team, the Graduate Student Coordinator will be primarily responsible for providing the day-to-day support services for pre/post docs working in the Virginia Institute for Psychiatric and Behavioral Genetics. Provide human resource support to other Centers and Institutes under SOMRA management as needed. Plus, provide meeting coordinator support to the SOMRA office . Under the direct supervision of the Manager for Business Operations, the Graduate Student Coordinator performs routine operational and administrative responsibilities including: 1) Serving as first point-of-contact for all graduate student inquiries, escalating as appropriate; 2) Working closely with hiring manager to successfully on-board all students, but could also include assisting with other positions such as hourly and work-study and providing support for staff and faculty recruitment and on-boarding as needed; 3) Overseeing all pre- and post-doctoral transactions to include appointment and renewal letters, stipend payments, health insurance enrollment, and terminations; 4) Coordinating the collection and submission of visa packets for international visitors and employees; 5) Managing the onboarding process for volunteers and establishing and maintaining all affiliations; 6) Making adjustments to labor distributions and serving as back-up departmental timekeeper; 7) Providing administrative support by scheduling meetings and assisting with business correspondence Minimum Hiring Standards
Excellent interpersonal, written and verbal communication skills. Works well under pressure and meets tight deadlines. Highly computer literate with capability in MS Office and related business and communication tools. Fantastic organizational and time management skills. Strong decision-making and problem-solving skills. Meticulous attention to detail. Ability to accurately follow instructions. One year of office/clerical support experience. Ability to work in a diverse environment required. Preferred Hiring Standards
Bachelor’s degree in human resources, business, or related field, or an equivalent combination of college and related experience; and/or 1-2 years of experience in performing human resources transactions in a university setting. Knowledge of Banner, PeopleAdmin, applicant tracking, and timekeeping software. Familiarity with talent management systems a plus.
