Department Summary
The Office of the Provost (OtP) upholds, provides leadership on, and carries out the academic mission of the University. In service to this mission, the office: promotes and sustains the highest standards in teaching, research and service; fosters and advocates for faculty; promotes a respectful work environment, equity and inclusion, and a family-friendly workplace; supports and coordinates matters that pertain to faculty and academics, including hiring, retention, promotion, and tenure processes; advances university outreach to the community, academic extension, and internationalization.

Position Summary
The Asst/Assoc Vice President for Academic Administration and Chief of Staff (COS) reports directly to the Provost and Senior Vice President (Provost). The Provost is the chief academic officer for the University, responsible for the quality of instructional and academic programs, the development of academic strategies and budget priorities, faculty personnel matters, and graduate and undergraduate studies and student success.

The COS serves as a principal advisor and aide to the Provost, handling a wide range of matters of institutional importance on behalf of the Provost and the Office of the Provost (OtP). This may include representing the Provost or OtP on institutional committees or workgroups, working with members of the university's senior leadership team, or working with myriad university stakeholders.

In addition, the COS oversees all operations of the OtP, including, but not limited to: management of staff; budget and personnel administration; adherence to and the review of relevant policies; internal communications; and workflow management. The COS advises the Provost on a variety of strategic and administrative matters, including those relating to the schools, colleges, and other reporting units within the Provost's portfolio. The COS works with the Provost, the Provost's team, and other senior leaders, including the President and the President's team, to develop, execute, and oversee strategic UO priorities and initiatives.

The COS is a member of the Provost's leadership team and must be able to bridge from strategy and ideation to operations and execution. The person in this position is responsible for cultivating and maintaining strong professional relationships with key personnel in all areas of the University, including those reporting to the President, deans, vice provosts, and other vice presidents. A primary responsibility is engagement and collaboration across other leadership team portfolios to ensure OtP objectives are understood, supported, and met.

The COS handles many sensitive and confidential matters and must demonstrate good judgment, creativity, tact, and a commitment to working with individuals from diverse backgrounds and perspectives.

Minimum Requirements
  • Bachelors' degree.
  • Six years of progressively responsible administrative experience.
  • Demonstrated experience in financial management, project management, and supervisory experience in a complex organization.

  • Exceptionally strong written and verbal communication skills.

  • Strong analytical and critical thinking skills and the ability to analyze, summarize and effectively present data.

    Preferred Qualifications
  • Master's degree.
  • Experience working in higher education administration or governmental administration (e.g. federal, state or local legislative or executive administration).
  • Understanding of UO and related organizational structures, policies and procedures; emerging issues in higher education; and relevant essential rules, policies, and laws.
