Position Summary
The job of the Associate Director of Administrative Services is to oversee all human resource and compensation related functions for the business college, provide support in the delivery of human resource services, and oversee the college faculty support and administrative services teams. Specific areas of HR responsibility include: managing employee search, hiring, and onboarding activities; communication, implementation and training of University human resource policies and procedures; management of faculty, staff, and student compensation programs; management of the performance review process and performance issues in conjunction with the appropriate supervisors and the Associate Dean of Finance & Administration; management of employee training and professional development processes, management of employee retirement and general exit processes, in conjunction with the Associate Dean of Finance & Administration, and ensuring that personnel functions conform to all applicable regulatory requirements.

Specific areas of Administrative Services responsibility include: overseeing the faculty support and administrative services team members, including one main reception hub, and coordinating daily operations and workflow. This also includes long range planning, managing meeting support and event deadlines, developing and disseminating schedules and operating protocols for academic support, administering the administrative services and office supplies budgets, hiring, training and developing administrative team members, and maintaining an appropriate atmosphere for a professional school.

This person reports to the Associate Dean of Finance & Administration and must exercise independent judgment and decision-making in situations that require tact, diplomacy, and strict confidentiality.

Minimum Requirements
  • Bachelor's Degree with five years of relevant experience, or Associates Degree with eight years of relevant experience, preferably within an education environment.
  • Five years of experience that include a combination of using payroll systems of varied frequencies, compensation management, managing recruiting and search procedures, and accounting related to annual planning and budget oversight.

  • Ability to exercise independent judgment and decision-making in situations that require tact, diplomacy, and strict confidentiality.
  • Excellent leadership skills
  • Excellent interpersonal, oral, and written communication skills. Must take the initiative to build professional relationships with faculty, students, and staff within the business school and University Human Resources, as well as other University departments. Must be able to represent the college in a positive manner both internally and externally at all times.
  • Strong supervisory skills; able to hire, train, and take corrective action for performance issues.
  • Strong organizational skills and capacity to work independently and assume responsibility for decisions, consequences and results having an impact on people, costs and/or quality of service.
  • Demonstrated experience with databases management, and reporting.
  • Ability to maintain professionalism at all times with respect to sensitive human resources issues.
  • Strong interpersonal skills sufficient to inspire and work effectively with diverse groups of students, faculty, alumni, and staff.
  • Proficient with Excel and Microsoft Word, Banner financial systems experience a plus.
  • Strong reconciliation skills and experience with complex compensation systems.

    Preferred Qualifications
  • Experience with facilities management.
  • Experience building staff professional development programs.
