Job Description:
To manage the day-to-day pre- and post-award transactions necessary in administering the ASRC faculty sponsored awards. Assuring compliance with the applicable rules and regulations imposed by federal, state, private sponsors, the Research Foundation of SUNY, and the University at Albany.
Primary Responsibilities:
- Manage sponsored awards budgets, including grants, contracts, sub-awards, MOU's, and other funds;
- Design and implement efficient financial processes and procedures, including contracts and invoices in accordance with sponsor requirements;
- Design, generate, and maintain accurate, up-to-date financial information and reports for the Director and his direct reports, research faculty, and as needed;
- Ensure compliance with federal, state, private foundation, and campus guidelines.
- Manage tuition payments for students involved with awarded projects;
- Manage the processing of supply and equipment orders, participant and human incentive payments, travel, technology;
- Maintain organized financial records and files;
- Liaise with the Office of Sponsored Programs Administration, Research Foundation (RF) Human Resources, as well as external vendors for the seamless management of sponsored awards.
- Collaborate with post-award management and communicate knowledge of new policies and procedures.
- Actively participate in the budget development at the proposal/pre award stage; Prepare budget modifications and assist with the submission of financial reports per sponsor requirements.
- Assist Principal Investigators (PI's) with the preparation and submission of post-award transactions, including personnel appointment forms, change forms, labor distribution forms, travel reservations and reimbursements, purchase requisitions, and P-Card reconciliation.
- Interface with RF departments as needed to ensure compliance with Foundation and Federal government regulations. Serve as a conduit for information from the RF departments to faculty and staff stakeholders.

- Manage research travel arrangements with subsequent reimbursements and P-Card reconciliation for researchers.

- Proficiency in Microsoft Office Suite, business tools, including computer applications related to budget activities Experience working with commonly used software such as Microsoft Office Suite (including TEAMS) and Adobe applications.
Requirements:
Minimum Qualifications:
- Bachelor's degree from a college or university accredited by the U.S. Department of Education or an internationally recognized accrediting organization.
- A minimum of two years of experience working in a research environment or equivalent administrative experience.
- Previous experience with federal, state, and private research funding; compliance regulations for funded projects.
- Experience with budgeting, grant management and/or purchasing
- Excellent written and verbal communication skills.
- Ability to work independently and as a team member in-person, multi-task, and respond professionally in challenging situations is essential.

- Bachelor's degree in sciences (STEM) or finance
- Familiarity with online financial reporting systems, such as Report Center, Oracle and PACS
- Experience in reviewing scientific reports for funded research projects at an institution of higher education.
- Experience interpreting and applying policies at multiple levels of authority (federal, state, and institutional).
- 2-5 years' experience in research administration and compliance.
Additional Information:
Professional Rank and Salary Grade: Senior Staff Assistant, SL-3, $58,000-$60,000
