Job Description
The Program Assistant for the Arts-Based Collaborative provides front line customer service, interacting with all constituents and stakeholders. This role supports the program from an operational, logistical and financial perspective to ensure successful learning partnerships and experiences. The Program Assistant reports to the Director of Teaching Artist Residencies.
The Program Assistant (Administrative Associate 2- MR05) for the Arts-Based Collaborative provides front line customer service, interacting with all constituents and stakeholders.
Responsibilities
Program Coordination
Support the day-to-day operations of program needs with coordination, planning, and communication. Examples of duties include assistance with event planning and coordination especially trainings, family engagements, and meetings; serve as a Liaison with other University departments; monitor email and communications; assist with UTC collaborative projects and partnerships; document creation for customized programs; coordinate scholarships and programs for UTC students; support teaching artists, student assistants, partners, and volunteers; and other duties as assigned.
Program Deliverables, Data, and Reporting
Process and manage organizational deliverables and data to support program sustainability, reports, and impact statements. Examples of duties include data entry, collection, and assessment; maintaining supplies and inventories; certificate processing; maintaining records; and other duties as assigned.
Financial Processes and Management
Administer the financial processes using DASH and other protocols for managing financial transactions. Examples of duties include invoice entry; reconciliation of ledgers and procurement card; research funding opportunities and managing grant budgets and processes; order supplies; time sheet entries for bi-weekly employees; and other duties as assigned.
Program Visibility
Assist in increasing visibility of ABC mission, programs, and impact. Examples of duties include tabling at UTC and public facing events about services; support visibility through coordinating with UTC Communications and WUTC; maintain web-based platforms; develop and post on center's social media platforms; develop other marketing initiatives such as monthly newsletters or announcements; and other duties as assigned.
The ideal candidate will possess the following:
Qualifications
Minimum: High school diploma or GED and two years of relevant experience, or an equivalent combination of education, training, and experience.
Preferred: Associate’s degree.

- Ability to gather data, compile information and prepare reports.
- Ability to multitask effectively.
- Ability to use tact and discretion when dealing with a variety of issues.
