Job Description Summary
Reporting to the Senior Director of Global Alumni Engagement, the Assistant Director of Alumni Engagement will be a critical member of the alumni engagement team by participating in the planning and execution of programs/initiatives that engage alumni, build affinity for Arts and Sciences, and benefit alumni and current students. The Assistant Director will focus on supporting Departments, Centers, and Programs of SAS and their alumni through events, newsletters, identification of volunteer assets, etc. As an integral member of the alumni team, this position will report, analyze, and maintain database information and data and analytics for our 120,000+ alumni population. The Assistant Director will also provide administrative support to the School of Arts & Sciences (SAS) Alumni Engagement team. This position requires a highly motivated individual with excellent organizational and project management skills.
Job Description
Penn's School of Arts and Sciences' Office of Advancement is committed to the advancement, promotion and support of the strategic agenda of the School through fundraising and public relations efforts. The Advancement office strives to enhance the quality, reputation and financial strength of the School by securing critical resources to support existing and new initiatives and by building a full appreciation of SAS faculty, students, and initiatives through a broad range of media and programs
Responsibilities:
- Provide project management to implement strategic programs that
foster connections between Department, Center, and Program alumni,
students, and other alumni. This includes creating concepts,
overseeing implementation, assessing timelines, creating
correspondence, analyzing, and reporting status, and identifying
solutions to barriers that may exist.
- Support key alumni engagement events and programming, both
on-campus and regionally, including signature programs such as
BenTalks, Salon gatherings, and Alumni weekend events.
- Support execution of programs and initiatives of the Arts &
Sciences Ambassador Council leadership group as well as other
existing volunteer engagement opportunities including the
Professional Women's Alliance and Center, Department and Program
boards.
- Support strategies to ensure accurate alumni records are
maintained in Compass. Report on the accuracy of records and
standard alumni metrics and demographics on a regular
basis.
- Maintain good relationships, be responsive, communicate and
work effectively with alumni, donors, faculty, volunteers, guests
and colleagues from SAS, the Central Alumni Relations Office, other
divisional alumni relations offices, as well as other offices
throughout Penn and outside vendors.
- In partnership with the Senior Director, work with SAS
administration to ensure an alumni relations presence at SAS-led
events.
- Conduct and report out regular benchmarking of other alumni
engagement programs identifying opportunities for improvement and
best practices. Analyze and report alumni relations metrics to
demonstrate progress of all entire alumni relations
functions.
- Manage incoming calls courteously and competently, provide
information and answer questions pertaining to SAS alumni programs.
Respond to requests from alumni for research, service, and/or
information.
- Partner with Director of Annual Giving and Major Gifts Officers
to leverage alumni engagement programs and initiatives to expand
prospect pipeline and drive annual fund participation.
- Provide administrative support to the Office of Alumni
Engagement as needed.
Qualifications:
- BA/BS and 2-3 years of experience in related field/s is
required. Experience in a complex higher education institution
preferred.
- Strong interpersonal, verbal, and written communication
skills.
- Ability to execute priorities effectively and work on multiple
projects simultaneously.
- Highly organized with strong attention to detail.
- Ability to work in a fast-paced environment.
- Initiative and the ability to exercise independent judgment to
solve problems.
- Ability to work cooperatively as a member of a professional
team.
Must be willing to travel domestically and work evenings and weekends as needed; a valid driver's license is required.

Salary offers are made based on the candidate's qualifications, experience, skills, and education as they directly relate to the requirements of the position, as well as internal and market factors and grade profile.
