Description

The Grants Administration Specialist for the Office of Research & Strategic Partnerships (ORSP), supervised by the Director of Finance and Operations for ORSP, is responsible for supporting all aspects of pre- and post- award activities for ORSP's portfolio of grants, contracts, and strategic partnerships. The Grants Administration Specialist provides comprehensive support to Principal Investigators (PIs), including, but not limited to preparing proposals for submission, administering award funds, monitoring award spending and reporting timelines, and ensuring compliance with Institute and funder policies throughout the grants and contracts lifecycle. The Grants Administration Specialist will apply knowledge of finance and accounting best practices to uphold the financial management of award funds. The Grants Administration Specialist is expected to exercise initiative in doing this work and function as part of a cohesive team in the Provost's office.

Examples of Duties


  • Assists in the development of grant proposal budgets in collaboration with the grant development/project lead, PI(s), and collaborators; ensures compliance with requirements stipulated in Institute policies, as well as RFPs, LOIs and funding agency guidelines.
  • Provides exemplary customer service to faculty PIs. Contributes to the development of internal resources and FAQs to assist faculty in navigating internal finance systems, including but not limited to supporting in the production of tutorials on accounting, reimbursement and student employment systems.
  • Maintains grant and contract records and documentation and grants tracking systems.
  • Provides regular status reports on grants and partnerships funding to ORSP and supports in the preparation of quarterly and annual reports to the Institute.
  • Supports the Director of Finance and Operations in the development of annual budgets for Provost's Centers by reviewing current and proposed expenditures and predicting anticipated needs.
  • Monitors budget, reporting and compliance timelines through the lifecycle of the grant or contract.
  • Manages the set up and account creation for newly awarded funds. Defines budget codes and coordinates with the Finance team to set up budgets.
  • On a monthly basis, reviews and reconciles grant budgets, preparing adjustments and corrections as required (i.e., generate and approve budget transfers, review funding re-allocation requests, monitor accounts to ensure accurate accounting by Institute Finance departments, etc.)
  • Supports the Director of Operations and Finance and coordinates with HR and payroll to prepare required forms and documentation for grant-funded positions and stipend payments.
  • Manages procurement for grant funds, including setting up vendors and processing invoices, processing reimbursements, initiating and paying purchase orders, and ensuring all purchases are made according to institutional policies.
  • Facilitates procurement card accounts for Centers and grant PIs, ensuring that charges are allowable costs, and that monthly reconciliation is completed.
  • Assists in the preparation of financial reports for internal departments and external funders including government agencies; prepares and/or reviews funds management reports with the Director, to identify patterns and track rate and percentage of utilization for restricted funds within the area of Research & Strategic Partnerships.
  • Perform all other related duties as assigned.


  • Qualifications

    Education:
    Bachelor's degree required.
    Experience:

  • The strongest candidates will have at least 3 years of related experience in research administration in higher education or non-profit environments.
  • Experience with federal, state, city, and private funding agencies guidelines, policies and procedures.
  • Grants finance experience with skills in financial analysis, accounting procedures, and budget reconciliations.
  • Knowledge of finance and accounting best practices and of the principles of sponsored awards financial management.
  • Past experience in grant prospecting, budgeting, and writing is a plus.

    Supplemental Information:

    This role is on a hybrid work schedule, and is required to be in office 3 days per week. ORSP operates from Pratt Institute's main campus and the Research Yard at the Brooklyn Navy Yard.

    Pratt Institute is a coeducational, private, professional college offering associate, bachelor and master's degree programs in art and design, architecture and library science.     Pratt is one of the largest undergraduate and graduate schools for art, design and architecture in the country and offers a wide range of cross discipline study options, dual degrees and major concentrations.
