UW Bothell has an outstanding opportunity for a CRM Specialist.

Working within the Office of Admissions and consulting with experts in other departments, the CRM Specialist will manage and maintain the undergraduate instance of the CRM system, currently Slate by Technolutions, for the Office of Admissions.

Under the supervision of the Director of Admissions, the CRM Specialist will provide guidance and support to functional users in the day-to-day management of Slate functionality supporting admissions initiatives including event management, building complex queries and reports, communication support, admission application processing, document management, data uploads, and integrations with the Student Information System and other campus systems.

RESPONSIBILITIES:

CRM Management:

The CRM Specialist is responsible for monitoring and maintaining all data and functionality in Slate to support all teams within the Admissions Office and other constituents around campus that utilize Slate. This includes:
• Coordinating with the Admissions Leadership Team to assess current functionality and providing guidance as decisions are being made about how to manage and improve admissions processes in Slate.
• Building workflows, processes, rules, and automations in Slate to support the Admissions Operations Team such as application data imports and exports, application review processes, and student communication campaigns.
• Working with the Admissions Marketing Communications Team to take provided copy to create letters and communications in Slate utilizing HTML, Liquid Markup, Javascript, and SQL coding and ensure the execution of these communications.
• Creating queries for recipient lists or populations groups and assigning them to the correct communication campaigns.
• Building and maintaining forms in Slate to collect data from prospective and internal applicants and utilizing the data to create reports for the Leadership Team to make business decisions.
• Auditing Slate to ensure data integrity by removing and consolidating duplicate records, updating contact information in records, and preserving historical data.
• Assisting all Slate users in developing their knowledge base and expertise with the CRM and creating user guides and training content.
• Managing the Slate Inbox to fulfill troubleshooting requests, resolve user issues, and respond to problems in Slate.
• Serving as liaison with the Slate vendor, Technolutions, to resolve and troubleshoot issues with the system.
• Collaborating with UW Bothell IT and the Data Integration Specialist to resolve any data import and export issues.
• Documenting current processes in Slate and staying current with latest best practices as developed by Technolutions and the greater Slate user community.
• Evaluating and testing new Slate features and functions as provided by Technolutions and the Slate user community and making recommendations to improve the CRM.
• Serving as a resource for other departments and programs within the campus, advising them on CRM best practices.

Other duties as assigned:

Other duties as assigned by the Director of Admissions and include:
• Serving on the Slate Team and participating in any related ad hoc committees both internal and external to UW Bothell.
• Attending the annual Slate conferences, trainings, and other professional development opportunities related to Slate.
• Developing additional technical skills or further enhancing skills related to CRM management such as data analytics, advanced SQL, XML, JSON and others as needed.

MINIMUM REQUIREMENTS:

• Bachelor's degree in Business Administration, Marketing, Communication, Management Information Systems, Information Technology, or related field.
• A minimum of 3 years of experience working with a Customer Relationship Management (CRM) System.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

ADDITIONAL REQUIREMENTS:

• Experience with HTML, Liquid Markup, JavaScript, and SQL.
• Must possess knowledge of how to build queries, select correct populations, and manipulate data.
• Experience executing communications through a CRM.
• Exceptional analytical and problem-solving skills with demonstrated proficiency in systems level thinking and an ability to see connections between business processes and identify solutions to complex problems.
• Strong written, oral, interpersonal, and visual communication skills with demonstrated ability to present clearly.
• Proven ability to self-monitor quality control and accuracy.
• Demonstrated ability to prioritize and execute multiple tasks in a deadline driven environment.
• A desire and passion for working in a diverse working environment that celebrates differences and works with one of the most diverse prospective student populations on the West Coast.

DESIRED EXPERIENCE

• 3+ years of experience using Slate.
• Knowledge and experience working with online forms, process builders, data integration tools, content management systems, and Student Information Systems (SIS).
• Knowledge and experience in higher education admissions.
• Experience serving as a customer contact for technical issues.
• Experience with XML, JSON, and APIs.

Conditions of employment:

• Work is performed in an office setting or remotely during regular business hours.
• Occasional evening and weekend work.
Must be able to lift/move approximately 50 pounds of materials.
