RESPONSIBILITIES:
Program and Curriculum Coordination and Marketing
- Provide input to the Dean, the Associate Deans, and the faculty
in the areas of program and curriculum development
- Articulate program requirements and other information to
Washington State’s board(s) for teacher preparation as well as
ensure compliance with Undergraduate and Graduate School policies
and procedures
- Working closely with Dean, Associate Deans, School
Administrator and faculty committees, develop, maintain and revise
a complex course time schedule for each academic year using
knowledge of University requirements, the disparate requirements of
the Educational Studies’ degrees, minors, and programs, student
demand, and faculty availability
- Advise Dean and faculty committees on implications of schedule
changes on program progress and student completion. Provide
recommendations to the various deans and faculty of revisions as
well as identify problem areas
- Assist Dean with program accreditation processes for all
programs, including program reviews and site visits, as
needed
- Coordinate entry, maintenance of, and revisions to University
Time Schedule. Troubleshoot with administrative team any changes
affecting course offerings, classroom scheduling, course
cancellations and/or reassignment of faculty
- Represent the School in both School and University work teams,
as needed: Councils, committees, task forces, and work groups (e.g.
Certification and Non-Certification committees, Graduate Council,
classroom scheduling work team)
- Assess need for and determine additional courses to support
prerequisites and degree requirements for new degrees and minors,
as well as determine if courses fulfill other
prerequisites/requirements in other majors/minors
- Collaborate with regional colleges to identify transfer courses
that fulfill prerequisites at a community college
- Collaborate with School Administrator to ensure appropriate
faculty recruitment, scheduling and compensation
- Respond to data requests from various university and state
constituencies and partners
- Lead the collaborative efforts of Admissions advisors,
Educational Studies advisors and staff to develop strategy to
publicize new degrees and minors through printed materials, the
WEB, and individual advising sessions
- Oversee the writing of content for the Educational Studies
sections of the University Catalogue as well as the website,
promotional brochures, and alumni communications
Enrollment Management
- Provide oversight for enrollment management and admission
processes, policies and procedures for all undergraduates/graduates
in Educational Studies’ programs
- Manage the School’s enrollment database and report on current
enrollments and forecast future enrollments for SES
courses/programs, recommending course, sections, and program
changes as needed
- In conjunction with the Dean, develop policies and procedures
to meet departmental and university FTE targets
- Review and manage all programmatic application
processes.
- Work closely with admission advisers, program advisers, and
admission specialists to provide crucial and accurate information
to potential applicants.
- Oversee departmental registration
- In conjunction with the Dean, develop policies and procedures
restricting or allowing access to Educational Studies courses based
on major, registration status, and/or departmental
resources
- Serve as a resource for faculty on registration
issues
- Review late add petitions
- Approve/deny student petitions for waiver of
programmatic/curricular rules or inclusion of courses from other
institutions
- Act as Dean’s designee for reviewing reinstatement
petitions
- Work with staff to coordinate School scholarship
processes
Strategic Planning
- Participate on Dean’s Leadership Team, providing data portraits
and analysis as well as input on short- and long-term initiatives,
goals and strategies in support of Educational Studies program
development.
- Provide information for and assist with program/grant proposals
that support strategic initiatives
- Participate in and share program information and data with
stakeholders to assist in cultivating partnerships beneficial to
School
- Assist in revisions and development of School level policy, as
needed, to support strategic planning
- Participate in Dean team meetings with the School Administrator
to share information, problem solve and strategize program
development and allocation of resources
- Work directly with the School Administrator to establish
appropriate amounts of resources - both human and fiscal - to
support all programs and initiatives. This includes assisting with
calculation of faculty efforts, the human resource impact of
student abroad/new programs, external partnerships, and grant
proposals
Supervision
- Supervise student admission processes, advising, and teacher
candidate placement functions
- Supervise Academic Services staff, provide oversight of
workload, performance evaluations, corrective action, resolution of
personnel disputes and problems, and assistance with promotion and
reclassification
- Train and mentor staff to develop their full potential and to
enhance the continuity of competent and committed staff for
Educational Studies
- Work closely with School Administrator to ensure compliance
with University HR policies and procedures, as they relate to
supervision of, promotion of andor recruiting and hiring of
Academic Services staff
Academic Advising Support
- Assist program advisors with advising duties during
particularly busy times
- Serve as a resource for faculty on grading and student code
policy and procedures
MINIMUM REQUIREMENTS:
- Master's degree in in student development administration,
Education or other related field.
- 1-3 years advising students in a college/university academic
program. Experience should include responsibilities as a
lead/mentor at two and/or four year educational
institutions.
- At least 4 years’ experience in managing a school or department
in an academic setting.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS:
- Excellent communication, problem-solving, decision-making, and
collaborative skills.
- Demonstrated ability to successfully manage multiple projects
simultaneously.
- Experience with interpreting and/or developing university
policies in admissions, advising, and program
curriculum.
- Ability to manage complex details; ability to comprehend
overall perspective (“big picture”)
- Ability to take initiative, work independently, but also be
part of a cohesive team.
- Ability to successfully exercise independent judgment in
resolving complex issues.
- Ability to work effectively with students, faculty, and staff
from a wide variety of backgrounds.
- Strong competency with MS Office, especially with Excel in
order to create and maintain program databases and to generate
reports.
DESIRED EXPERIENCE
- Experience in managing an academic or other student success
service.
- Knowledge of and/or experience with teacher preparation
programs in Washington state.
- Familiarity with University of Washington teacher certification
standards.
- Familiarity with UW systems related to academic program and
services data, e.g. MyGrad, Canvas, SDB, Time Schedule Construction
(TSC).
WORKING CONDITIONS:
This position requires a regular work day schedule of at least 8 hours a day, and may require occasional work on weekday evenings and/or weekends for special events.
