Job Details
CMU’s Computing Services department is searching for an Executive Assistant III. This is an excellent opportunity for someone who thrives in an interesting and exciting work environment. Under the overall direction of the Vice President, the Executive Assistant III is responsible for setting priorities and managing the execution of the administrative and possibly financial functions for the Vice President. Position requires a substantive understanding of the Office’s mission and objectives, critical projects, key employees and issues. Within parameters set by the Vice President, this position is tasked with solving problems with and through internal colleagues and University stakeholders. With guidance from the Vice President, this position will be making decisions that assure the smooth operation of the Office and projects critical to its success. This position will regularly handle sensitive information, which requires maintaining strict confidentiality and discretion. This position title may be utilized only when supporting VP’s/Executives and must be approved by Compensation.
Your core responsibilities will include:
- Within parameters defined by the Vice President, troubleshoots
and resolves problems within the scope of the department, Office or
University. Refers only the most difficult or sensitive issues to
the Vice President.
- Manages the administration of the Office of the Vice President
by working collaboratively with others inside and outside the
University. May prepare correspondence, presentations or reports on
behalf of the Vice President.
- Identifies priorities for the Office and may bring new or
pending issues to the attention of the Vice President.
- Assures that the operations of the Office are in good working
order, financial reviews and reconciliations are completed and
discrepancies are resolved. Maintains accurate records and
knowledge of budget expenditures, and counsels Vice President on
status, opportunities and concerns on a regular basis.
- Also serves as the executive assistant of the Deputy CIO.
- In conjunction with the deputy CIO and other members of the
office staff, assures that the operations of the Office are in good
working order, financial reviews and reconciliations are completed,
and discrepancies are resolved.
- Maintains accurate records and knowledge of budget
expenditures, and counsels Vice President on status, opportunities
and concerns on a regular basis.
- Make decisions to ensure smooth executive of the Vice
President’s communications, administrative tasks, travel and
projects.
- Manage execution of Vice Presidential communication (email,
memoranda, and social media..), calendaring, and travel.
- Prepare high-level talking points for briefings and create
draft of presentation material for same.
- Set priorities and manage the execution of the administrative
and communications functions for the CIO’s office.
- Support the VP in planning and execution of meetings and
executive events.
- Other duties as assigned.
Qualifications:
- Associate's Degree (Preferred in Business/Business
Administration)
- 5-8 years of Administrative Support experience
- Excellent Oral and Written Communication skills (Including
Social Media)
- Excellent Organization and Planning skills
- Successful background check
- Receives little instruction on day-to-day work and receives
general instructions on new assignments
- Adaptability and openness to change as the department and
organization evolves
- Ability to work well with others and/or as part of a team
- Ability to work with sensitive information, maintain
confidentiality and use discretion
- Ability to prioritize work and handle multiple tasks
simultaneously
