Description


Position Title: Student Accounts Specialist

Department: Business Office

Reports To: Student Accounts Manager


Classification: Non-Exempt
FTE: 1.0

Salary: Hourly Position ($19.00-$24.00)

Essential Job Duties:
  1. Student Accounts and Financial Aid Counseling
  • Provide excellent customer service while managing the primary Student Accounts and Financial Aid department phone line and email accounts, including answering or delegating, as necessary
  • Provide financial counseling to assist students and families regarding tuition bills, payment options and financial obligations
  • Interpret and administer Student Account policies and use professional judgment, when necessary, in specific situations
  • Communicate pertinent information to students and parents via telephone, email, and in person
  • Accurately refer students and parents to departments to help resolve their questions.
  • Maintain compliance with the Family Educational Rights and Privacy Act (FERPA

Coordinate Health Insurance
  • Manage the student Health Insurance enrollment process for international students.
  • Notify students of insurance coverage requirements
  • Coordinate the electronic flow of information with the insurance company

Office Administration, Payment, and Refund Processing
  • Assist with processing student payments into the Student Information System, including daily payment files, payments made by mail and wire payments
  • Assist with processing third-party scholarship checks
  • Process student refunds weekly in accordance with Title 4 regulations
  • Manage document intake which includes receiving, tracking, and routing all incoming forms; oversee filing system and document imaging system within department; and ensure document retention policy is applied consistently
  • Assist with the Student Accounts website maintenance
  • Assist Accounting Office with verifying the payments made in Flywire match disbursements received by the bank

Manage Student Workers
  • Hire, train, mentor, schedule, and direct the work of department student workers
  • Ensure the office is staffed with student workers available to greet, respond to, or route questions to appropriate individuals
  • Ensure student workers interact with customers in a courteous and professional manner
  • Approve student timecards, ensuring hours are within budget and student earnings are within the financial aid award

Other Duties
  • Actively participate with the Student Accounts team in implementing a new Student Information System. Converting from a home grown system to Oracle Student Management.
  • Provide back up to the Student Accounts Receivable Coordinator.
  • Support, respect, and commit to embracing diverse backgrounds, values, and points of view to build a strong and inclusive community
  • Complete and meet deadlines for required training and performance management cycle
  • Perform other duties as assigned


Work Schedule:

Term: Year-round

Shift: The standard 40-hour work schedule is Monday - Friday, 8:00 am - 5:00 pm; flexible work arrangements can be proposed and are subject to approval by HR and relevant supervisors. Some evening and weekend hours may be required. Travel up to 1% of work schedule, which includes local (Twin Cities metro area) and national travel; overnight trips average 0-1 trips per year.

Required Qualifications:

  • Education: High school diploma
    or equivalent; maintain a valid driver's license and meet St. Olaf College driver authorization criteria with a satisfactory driving record

  • Experience: 2+ years of customer service experience in a fast-paced environment


Preferred Qualifications:

  • Education: Associate's degree in accounting or related field

  • Experience: Experience working with student accounts or financial aid in higher education

Employment in this position is conditioned upon successful completion of a background check, which may include criminal background checks, reference checks, verification of work history, verification of any required academic credentials, licenses, and/or certifications, a motor vehicle check, verification of a DOT certification, a credit check, employment eligibility verification, and/or a pre-employment physical.
