Position Purpose
To oversee and coordinate the administrative functions of the department, including prioritization of multiple activities. To support the Chair and faculty, ensuring efficient, accurate and timely operations and sound fiscal management of the department administrative operating budget. To supervise part-time administrative assistant.
Description
This role will require significant financial processing tasks and the use of excel for budget management.

Budget/Financial Management
- Develops, manages and reports on department/program budget within parameters set by DOF Fiscal Office including operating accounts, gifts and endowments.
- Oversees, reconciles, and reports on all financial matters for the department.

- Independently manages, oversees and coordinates all administrative functions and day-to-day operations of the department/program

- Coordinates and organizes faculty searches, visiting and research faculty appointments, tenure cases, annual reports and other internal department/program support.

Curriculum Support
- Assists chair with teaching course schedule, coordinates cross-listing of courses, communicates requirements to students, tracks majors and minors, acts as liaison for the department with the Registrar’s Office.
- Serves as liaison with the appropriate Associate Dean of Faculty regarding faculty teaching schedules and course counts.

- Responsible for the management, coordination and implementation of all department events including department meetings, lectures, workshops, conferences, faculty, guest speakers, student presentations, open houses, social gatherings, alumni events and seminars.

- Serves as the primary point of contact representing the program to the institution and external constituencies, including maintaining the website, social media and newsletters as well as coordinating stewardship efforts.

- Adhering to institutional policies and procedures, maintains a comprehensive array of manual and electronic records such as inventories, budgets, majors/minors records, student information and personnel files, determines retention and disposition for specific information not otherwise covered by institutional policies.

Human Resources
- Hires, trains and supervises and evaluates administrative assistant and student employees according to department/program administrative structure. Works with faculty and HR on personnel related matters, including hiring, performance management, compensation and terminations.
- Monitors and processes graduate student stipends, tracks student progress, and advises on program requirements. Coordinates graduate student recruitment and manages Graduate Teaching Assistant (TA) assignments and duties, maintaining records, collaborating with faculty, and providing ongoing support throughout the academic year.

- Manage all space-management activities, including lab renovations, building improvements, general maintenance, office space assignments, and access issues. Collaborates with Facilities and the Office of Sponsored Projects to ensure compliance with federal space utilization requirements.
