Position Purpose
The Academic Coordinator serves as a member of the Thayer administrative team and coordinates faculty members’ academic and administrative support activities according to Thayer’s mission, strategy, and institutional priorities. The role provides faculty with vital teaching, research and administrative support, ensures smooth operations, efficiently implements programs and events, and responds to the needs of diverse audiences. Percent time distribution of key accountabilities may vary based on individual faculty member needs and responsibilities.

Associates plus 2-3 years' experience or equivalent combination of education and experience
Required Qualifications - Skills, Knowledge and Abilities
- Experience and skill successfully coordinating high-level administrative support, managing projects and events, and providing high-touch customer service in a professional office environment.
- Two or more years of office experience in a related field, with some degree of autonomy.
- Knowledge of office procedures.
- Strong organizational and planning skills and ability to set priorities.
- Highly proficient with computer applications.
- Strong communication and interpersonal skills.
- Ability to collaborate with others as primary means to achieve results.
- Initiative, sound judgment, and ability to work independently.
- Ability to maintain confidentiality.
- Ability to become proficient in Dartmouth Financial and Procurement systems.
- Ability to initiate, process, and reconcile financial purchases, payment requests, purchase orders, and contracts with accuracy and timeliness. Ability to support, contribute to, and strengthen a vibrant, culturally diverse, and inclusive learning community of students, alumni, faculty, and fellow professionals.
- Bachelor’s degree.

Description
Office and Course Support
- Provides support to faculty for classes, labs, and projects; prepares course materials using Canvas or other learning management system, tracks student grades, and manages audio-visual needs.
- Provides administrative, research, and information management assistance; conducts searches; updates and maintains faculty profiles and biographies; maintains files and records.
- Coordinates faculty travel to conferences and meetings.
- Drafts and proofreads memos and correspondence for review and signature.
- Prepares a wide variety of materials such as correspondence, committee minutes and reports, and handouts; proofreading to ensure accuracy.
- Assists with other activities associated with achieving academic support priorities.

Communications Coordination
- Serves as the primary contact for all inquiries regarding faculty members’ activities.
- Gathers information for meetings, coordinates items for the agenda, and distributes material to participants prior to the meeting.
- Coordinates and arranges special events and programs including arranging speakers, locating and reserving facility space, arranging for necessary services, coordinating schedules and itineraries, collaborating with other coordinators, and overseeing events.
- Coordinates with other offices and departments to arrange co-sponsorship of events.
- Handles confidential or sensitive information, exercises discretion concerning its disposition.
- Communicates respectfully with a diverse community.

Description
Grant Support and Financial Transactions
- Assists with faculty members’ grant proposal preparation in collaboration with Thayer Research Administration, including but not limited to: reviewing solicitations, collecting information from colleagues, creating and formatting documents, tracking information and uploading documents.
- Prepares and/or supports travel expense report submission and reimbursements.
- Coordinates Corporate and PCard purchases and submission of forms and receipts.

Schedule Coordination
- Manages faculty members’ calendars and contact files.
- Coordinates and schedules a variety of activities on behalf of faculty members.
- Briefs the faculty members on changes in schedules and priorities or on matters needing immediate attention.
- Coordinates schedules and itineraries, meets and orients visitors.
