Description/Job Summary

The Administrative Assistant II reports directly to the Directors of Workforce Development and Continuing Education and performs a wide range of administrative functions to facilitate the daily operations of the workforce programs division. The Administrative Assistant II provides a variety of administrative tasks including research, preparing presentation, special projects, scheduling appointments, high-level communications and correspondence, and various liaison duties. The Administrative Assistant II provides customer-oriented quality service to the students, faculty, staff, and guests of Baltimore City Community College displaying exceptional organization, professionalism, communications, and attention to detail.

Responsibilities/Duties
  • Provides efficient administrative support to the Directors of Workforce Development and Continuing Education, to include drafting reports and correspondence, answering telephone, maintaining calendars, scheduling meetings and appointments, greeting visitors, and related duties
  • Provides documentation of meetings, track and provide follow-up for action items
  • Enters purchase requests into Banner
  • Conducts research associated with the department functions and programs; analyzes information and make recommendations to the Directors
  • Tracks and orders office supplies and maintains supply storage areas
  • Opens, sorts and screens mail
  • Composes or drafts letters and memoranda as requested by the Directors.
  • Performs a variety of office activities to support the Workforce Development Division
  • Assist in the revision of established procedures suggests changes to enhance service and assists in the implementation of improvements
  • May compile, store, and retrieve management data using computer
  • Performs other duties as assigned
Required Qualifications
  • Associates degree
  • Five years of administrative assistant experience
  • Proficiency with MS Office software (including, but not limited to: Word, Excel, PowerPoint, Access, Visio) Outstanding customer service skills
  • Excellent communication skills, both oral and written Experience to multi-task in a fast-paced environment Exceptional organizational skills
Preferred Qualifications
  • Bachelor’s degree
  • Seven years of administrative assistant experience
  • Experience in an institution of higher learning or in a state agency
