Position Summary

Under the supervision of the Event Services Manager, the University Reservations Scheduler is responsible for the implementation and coordination of all services related to University Reservations.

This position works closely with a diverse group of campus customers on events, ranging from one-time meetings through multi-day events and conferences. A strong skill set in the following areas is essential: communication, attention to detail, organization, negotiation, problem solving, record keeping, and understanding and working with the campus culture. Another key component is facilitating and coordinating event needs with other University service providers including Extended Learning, Custodial Services, audiovisual, Dining Services, Parking Services, and Records & Registration.

This position is responsible for maintaining the reservations database and ensuring best practices to ensure the highest level of customer service. The normal work schedule for this position is Monday – Friday. Evenings and weekends may be required on some occasions.

Required Qualifications
  • Associates Degree or equivalent or High School Diploma with two (2) years of related experience.
  • Demonstrated ability to use and adapt to current technology and new technology/software.
  • Ability to provide exceptional customer service.
  • Ability to interact effectively with all customers.
  • Ability to problem solve and readily adapt to change.
  • Excellent written/oral communication skills.
Preferred Qualifications
  • Bachelor’s Degree
  • Previous experience with scheduling software platform(s) such as: Event Management Software ( EMS ), Ad Astra, 25 Live or Mazevo.
  • Ability to apply and interpret university rules and regulations.
  • Experience in preparing facility use agreements.
  • Experience leading student staff members.
  • Ability to develop student employee training programs.
  • Understanding of the importance of collaboration within the unit and the university.

Description of College / Department / Program / Division / Unit

The Division of Student Affairs’ role is to enhance and support students learning experience here at UWL . We work closely with faculty, staff, community members, alumni and most importantly, students to provide quality programs and services which promote learning, leadership, involvement, service and the celebration of diversity. The Division includes a number of departments: Admissions and Recruitment, Campus Child Center, Counseling and Testing, Student Health Center, Intercollegiate Athletics, Recreational Sports, Residence Life, Student Life, University Centers, and the Vice Chancellors Office. The staff of the Division is truly student-centered and concerned about the holistic development of the student.

Responsibility Statement

University Reservations Coordination/Management

Duties to Support Responsibility
  • Coordinate the event/meeting reservations processes for the Student Union, Centennial multi-purpose and meeting rooms, Cleary Center, all classroom spaces for meetings/events, and select outdoor spaces.
  • Primary reservations contact for all day-to-day events including but not limited to: meetings, small conferences, student events, community meetings, simple receptions, etc.
  • Assist the Associate Director and Event Services Manager with issues related to competing demand for resources and spaces.
  • Foster excellent working relationships with campus partners to coordinate event services.
  • Setup and administration of all parameters of the Event Management Software( EMS ) program. This includes managing how all aspects of the database are set up, while considering the needs of campus partners. Also includes managing all aspects of the virtual EMS customer account process. Act as liaison with Records and Registration Office related to the classroom scheduling software to formulate best practices for event scheduling in academic spaces.
  • Serve as main point of contact/project manager, in conjunction with University Technology, for scheduling software updates and/or navigating to new scheduling platform.
  • Host training sessions for the campus community related to the Virtual EMS platform.
  • Manage CVENT Social Tables event diagram software and create diagrams for customer events.
  • Create, coordinate and monitor all processes related to reservations.
  • Work in conjunction with the audiovisual production coordinator to provide basic support for meeting rooms.
  • Coordinate with full-time custodial and event setup staff by creating setup diagrams and setting timelines.
  • Assess and approve minor exceptions to policies and guidelines related to reservations.
  • Watch for event requests that involve risk and liability concerns for consultation with the Associate Director
  • Create, distribute and evaluate event feedback for Student Union events.

  • Responsible for the billing and follow-up of all event-related expenses for internal customers.

  • Generate reports from Trafsys software when requested.
  • Suggest changes to policies and guidelines while balancing customer service and institutional/operational requirements.
