Description/Job Summary

This position reports to the Director of Student Accounts/College Bursar. The Student Accounts Coordinator is responsible for maintaining student legers by posting course charges in a timely manner and managing the daily duties of the cashiers. The Student Accounts Coordinator provides excellent customer service regarding student invoices, advising students of their rights and responsibilities regarding their financial obligations to the College. The Coordinator manages the refund disbursement process and assists the Assistant Director and Director of Student Accounts in monitoring, reviewing, and improving the business activities of the department.

The Coordinator manages the daily functions for the cashiers, including training on standard operating procedures to troubleshoot billing issues with various College offices, including but not limited to Financial Aid, Admission, and Records and Registration. This position serves as a part of the leadership team with the Assistant Director and Director of Student Accounts.

Responsibilities/Duties
  • Manage the daily duties of the cashiers including training and evaluation.
  • Supervise cashier functions, including but not limited to, closing cashier sessions, opening and closing of cash drawer, cash and credit/debit card payment processing, bus pass payment processing, and working fund check distribution.
  • Serve as a first level of escalation for student issues/concerns and approve payment exceptions for students.
  • Assist the Assistant Director of Student Accounts to ensure all refunds and uncashed checks comply with Title IV regulations and financial aid disbursement rules.
  • Provide support to students and parents regarding financial planning, educating students about their financial obligations to the College as well as the appropriate financial resources available to them.
  • Mange student ledgers by posting all course charges in a timely manner.
  • Research student accounts with outstanding account balances, document collection attempts, and process holds accordingly.
  • Prepare and maintain accurate records for audits, compliance reporting, financial reviews, and reconcile student account balances.
  • Reviews, maintains, and processes fiscal/accounting records and transactions related to student accounting records tuition receivable, accounts payable and accounts receivable.
  • Works with staff to perform the cash count and prepare the daily deposit.
  • Reviews, adjusts, and approves student refund amounts in Banner system.
  • Ensure daily posting of accounts receivable batches.
  • Monitor TouchNet payment plans, follow up on outstanding balances, and process refunds, adjustments, and account reconciliations as required.
  • Support the Assistant Director of Student Accounts in handling accounting duties within the Office of Student Accounts and reviewing appeals.
  • Provide training for the cashiers to ensure they stay abreast on institutional, federal, and state changes.
  • Required to work some Student Service Saturdays, evenings, and General Registration periods.
  • Performs other duties as assigned.
Required Qualifications
  • Bachelor’s Degree in Accounting, Business, Finance Management, or comparable.
  • Minimum of five (5) years full-time, supervisory, professional experience in higher education.
  • Knowledge of Ellucian Banner ERP; other related student accounting systems.
  • Previous experience in student accounts or general accounting.
  • Demonstrated ability to cultivate positive relationships with students, authorized payers, and organizations.
  • Strong problem-solving abilities and the ability to use sound judgment for decision-making.
  • Advanced user of MS products such as Excel, Word, and PowerPoint.
  • Ability to handle extremely sensitive and confidential matters.
  • Ability to work independently in meeting critical deadlines within the department.
  • Demonstrated experience working with diverse student populations.
Preferred Qualifications
  • Master’s Degree Preferred
  • Community College Experience Preferred
  • Knowledge of federal and state student refunds and financial aid regulations, including Title IV.
  • Five or more years in student accounts, billing, refunds, or a related financial field.
