Coordinator, Administrative Program

Job Summary

The Administrative Program Coordinator works independently but collaboratively with the Residency Program Director, Associate Program Directors, Academic Programs Director, Curriculum Committee members and residents to support scheduling of the residents in the residency program.

Responsibilities
Essential Functions:

  • Schedule residents into Family Medicine clinics and rotational experiences.
  • Prepares reports on resident status and progress throughout various rotations.
  • Tracks resident time away, including assisting residents with FMLA/LOA processes and documentation.
  • Helps Program Manager to ensure residents complete ABFM requirements.
  • Coordinate all rural, outside, and special rotations for resident experience; including compiling and sending necessary credentialing paperwork.
  • Help to coordinate special experiences with outside clinics, departments, and learners from other programs.
  • Assists Chief Residents in creating block schedules for each academic year.
  • Creates elective experiences for the FM residents
  • Coordinates with Chief Residents for resident sick-call coverage as needed.
  • Collaborate with Core Curricular faculty to update rotation schedule templates annually, and as needed.
  • Ensures accuracy of all resident clinic schedules, rotation completion, and time away.
  • Coordinates with Associate Program Director and with residents interested in completing an International Language Development Rotation.
  • Advises Program Director, staff, residents, students and others regarding program policies, goals and related technical issues.

Minimum Qualifications
Bachelor's degree (or equivalency) in a related field plus one year directly related experience or equivalency. Demonstrated ability to work independently, analyze and make decisions related to program content. Strong coordination and organizational skills required to prioritize conflicting deadlines. Demonstrated human relations and effective communication skills are also required.

EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience. (Example: bachelor's degree = 4 years of directly related work experience.)
