Position Purpose

To provide administrative support to the director of the Dartmouth College Child Care Center and to coordinate activities that will increase Center efficiency, expedite the work of others, and ensure the smooth operation of the Center.

Required Qualifications - Education and Yrs Exp

Associates plus 1-2 year(s) of experience or equivalent combination of education and experience

Required Qualifications - Skills, Knowledge and Abilities

Strong organizational skills
Proficient with computer applications
Strong interpersonal skills
Works well independently

Preferred Qualifications

Preferred office experience in a related field such as education or social services
NH drivers license

Description

General Office Support
Coordinates a variety of activities to support the Center’s functions. These may include:
  • Assisting with the preparation and maintenance of materials concerning licensing by the NH Dept. of Health and Human Services.
  • Assisting with the preparation and the Quarterly Family Newsletter
  • Participating in building maintenance.
  • Provides general office coverage, alternating with the Office Manager to open and close the office daily.
  • Assisting in arranging daily staff coverage as needed.

Communication
  • Serves as a point of contact for the Center, requiring knowledge of Center policies and procedures.
  • Greets families and guests as they enter the facility.
  • Answers phones.
  • Answers door intercom.
  • E-mails families and staff on a regular basis.
  • Assists with coordination of fire drills, alerting all appropriate parties.

Information Management
  • Maintains Center files and databases to ensure accuracy and accessibility of information.
  • Assists in management of the waiting list. (I don’t currently do this much, if at all)
  • Reviews monthly financial reports for accuracy regarding purchase card entries.
  • Maintains files for children/families.
  • Maintains immunization information for children.
  • Reports immunization information to the state of New Hampshire annually.
  • Maintains staff files in accordance with the requirements of the state of New Hampshire.
  • Maintains staff professional development files, alerting staff monthly to professional development needed to meet state licensing requirements.
  • Creates professional development certificates for in-house professional development activities.

  • Creates the weekly snack menu in accordance with licensing requirements.
  • Orders food for the snack program.
  • Receives and stores food.
  • Coordinates orders with teaching staff.

Hiring Procedures
  • Assists new hires through the hiring process as required by the state of NH and Dartmouth College.
  • Maintains a status of Notary for the state of New Hampshire if eligible.
