Job Description Summary:
The Advancement Services Coordinator supports the Director of Advancement Services by focusing on accurate data entry, gift processing, prospect research, data analysis and reporting, and providing essential administrative support to the Advancement team.
Duties and Responsibilities:
  • Accurately enter and process gifts, pledges, and donations into the University's database. Ensure compliance with university policies and best practices in gift recording.

  • Maintain and update alumni and donor database, conducting regular quality control to ensure data integrity.

  • Generate standard and ad hoc reports and assist in analyzing data related to fundraising activities and donor engagement to support strategic decision-making.

  • Prepare and send timely donor acknowledgment letters and receipts, ensuring each communication is personalized and professional.

  • Support the planning and execution of alumni and donor events, including registration lists and logistics.

  • Conduct research on potential donors and alumni to aid fundraising initiatives and enhance outreach efforts.

  • Collaborate with Advancement staff to fulfill their data requests and reporting needs, providing responsive and proactive support.

  • Assist in drafting clear and professional communications for donors and alumni, ensuring consistent messaging.

  • Provide occasional administrative support to the Advancement team as needed, including scheduling meetings, maintaining files, and preparing correspondence.

Requirements

Education and/or Experience
  • Bachelor’s degree, or an equivalent combination of training and/or experience.

  • At least 2 years of experience in data entry, gift processing, or database management in a nonprofit or higher education setting strongly preferred.

  • Experience as a project and/or event coordinator.

  • Experience with data analysis and generating reports to support strategic decision-making preferred.

  • Proficiency in CRM systems (e.g., Raiser’s Edge NXT) and software such as Microsoft Office, Monday.com, LiveAlumni, and LexisNexis preferred.

Skills and Abilities
  • Strong written, verbal, and interpersonal communication skills, with the ability to collaborate effectively across diverse teams.

  • Work independently and collaboratively while using established workflows and processes.

  • Maintain confidentiality while handling privileged donor and constituent information.

  • Stay current with all practices related to database management and Raiser’s Edge NXT system.

  • Excellent organizational skills, impeccable attention to detail, and a demonstrated team player.

  • Relate and communicate with donors, alumni, and University faculty and staff.

  • Proficiency with fundamental math and data analysis to support accurate reporting and decision-making.

  • Willingness to work occasional evenings/weekends and to travel periodically (principally in California).

  • Knowledge of the mission of SMU, and connected to SMU communities: Bay Area, Sacramento, and/or Fresno.

Hourly wage range: $29.01 ~ $38.46

Samuel Merritt University currently provides base salary ranges for all positions-on job advertisements-in the United States based on local requirements. Individual compensation will ultimately be determined based on a variety of relevant factors including but-not limited to qualifications, geographic location, and other relevant skills.
