Description
Position Title: TRIO McNair Scholars - Assistant Director
Department: TRIO McNair Scholars
Reports To: Director of the TRIO McNair Scholars Program
Classification: Exempt
FTE: 1.0
Date: December 2024
Salary: $56,000 - $65,000
The St. Olaf TRIO McNair Scholars program prepares first-generation, income eligible college students and students from underrepresented backgrounds to successfully apply to and gain admittance to graduate programs, with a specific focus on completing the PhD. This position provides scholars with academic support, individual and group advising, and access to research and scholarly activities to ensure successful completion of undergraduate and graduate study.
ESSENTIAL JOB DUTIES:
Provide academic support and service delivery for program participants
- Advise students on research and internship opportunities, financial aid, career exploration, graduate school preparation, and self-awareness through workshops and individual meetings to support the achievement of their graduate school goals
- Work closely with the Director to coordinate the recruitment, identification, and selection of required number of verified program participants
- Assess students' interests, needs, and goals
- Design, implement and oversee programming to achieve objectives
- Maintain caseload of students and monitor their academic progress
- Coordinate retention strategies and provide information and referrals to participants on relevant resources
- Coordinate completion of student applications for graduate school, internships, research, FAFSA and scholarships
- Assist students with personal statement writing and CV creation
- Design, plan and supervise field trips, conferences, graduate school visits and cultural activities
- Collaborate with staff, faculty, graduate school personnel, and external partners
2. Provide assistance with program management and administrative tasks
- Maintain progress towards successful accomplishment of program objectives
- Document participation in services using program software, referring students to campus partners for assistance and support, when necessary
- Assist the Director in data management, budget planning, annual performance report, and other required reports
- Assist with the creation of programmatic procedures and policies
- Coordinate newsletters, flyers and other marketing materials
- Maintain and update website
- Maintain inventory of administrative equipment; order and purchase office supplies and summer student lab/office supplies
- Attend professional trainings/conferences
3. Assist with program planning and design, development and evaluation
- Co-create and implement program policies, student performance and discipline guidelines, and program evaluation
- Conduct formative and summative evaluation to guide program improvements
- Coordinate design and development of program components, guide services and curriculum development and maintain progress towards completion of objectives
- Participate in staff meetings, team development sessions, relevant College committees, and TRIO professional organizations (MNTRIO, EOA, MAP, etc.) as well as build new collaborations with other organizations
4. Supervise student worker(s) and co-coordinate summer research program
- Assist Director with planning and implementing summer research program
- Coordinate and implement curriculum development and student services
- Oversee and participate in planning of meals, transportation, workshops, cultural events, graduate school visits, and summer research programming
- Assist with hiring, training, and supervising academic year/summer student workers from backgrounds similar to McNair participants who will deliver quality programming
5. Support, respect, and commit to embracing diverse backgrounds, values, and points of view to build a strong and inclusive community
6. Perform other duties as assigned
REQUIRED QUALIFICATIONS:
Education: Master's degree in education, counseling, or related field (and/or in progress)
Experience: 2+ years
of experience working with first-generation, low-income students and/or underrepresented college students or a combination of work experience with similar populations in high school or college programs-.
PREFERRED QUALIFICATIONS:
Experience: Personal background similar to that of students to be served.
Experience working in a federal TRIO program.
Experience working with student services, advising, teaching, graduate school application assistance, and/or program planning and program/project management in an academic context.

Work Schedule:
Term: Year-round; position is grant-funded, continuation of position is contingent upon renewal of federal funding.
Shift: The standard 40-hour work schedule is Monday - Friday, 8:00 am - 5:00 pm; flexible work arrangements can be proposed and are subject to approval by HR and supervisor; occasional evening or weekend hours for special events; travel up to 10% of the work schedule, which includes local and national travel
