Carnegie Mellon University’s Finance Division is searching for a Supervisor for their Accounts Payable team. This is an exciting opportunity for someone who thrives in an interesting and challenging work environment. You will contribute to the department by providing support by assisting the manager in ensuring effective and efficient daily operations of the department and will provide guidance and mentorship to the AP representatives. This person will also take on various projects for the department and will be a primary point of contact for vendors. The AP Supervisor is responsible for leading and performing the operations of the accounts payable department and is expected to work directly with staff at all levels and/or external customers. This includes but is not limited to mitigating risk, customer service, accounting, supplier management, system updates and invoice triage.

Core responsibilities include:
  • Perform and oversee the Core Functions of AP as assigned:
    • Payment processing for all ledgers
    • System supplier maintenance including but not limited to:
      • Review of documentation for supplier set up and accurate tax reporting (1099 process)
      • Quarterly and annual review of supplier information for 1099 reporting
      • Review of daily supplier entry for domestic and international suppliers
      • Research PaymentWorks feedback and alerts to resolution
      • Resolution of Perceptive Content supplier queues
    • Invoice processing in Perceptive Content and Brainware.
  • Oversight of the AP Help Inbox and ensuring timely responses
  • Assist in oversight of day-to-day operations of AP Representatives. Also, will back up all AP staff as needed. Make and inform supplier management recommendations. Research of supplier questions and recommendation for resolution. Coordination with Procurement on supplier management.
  • Prepare and revise documentation of AP processes and procedures and ensure AP staff are informed and following the departments documented procedures; Assist with special projects and system implementations and improvements as requested by the AP Manager in support of the overall AP mission;
  • Assist the AP Manager with the accurate completion of monthly/annual close procedures and associated daily processes;
  • Perform daily tasks, which include but are not limited to, bank returns, escheatment letters, and vendor and campus refund checks;
  • Any other responsibilities as deemed necessary by the AP Manager

Qualifications:
  • Bachelor’s degree required
  • 5-3 years of accounts payable experience required
  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

  • Sponsorship: Applicants for this position must be currently legally authorized to work for CMU in the United States. CMU will not sponsor or take over sponsorship of an employment visa for this opportunity.
  • Work Posture: This position is operating on a hybrid schedule, with an on-campus/in office presence two days a week.
  • Typical Work Schedule: Monday-Friday from 8:30-5:00pm. An alternate work schedule allowing for evening and weekend hours will be required on occasion.
