Position Summary:
Administrative and coordination support work for program start-up; temporary, year 1 only; a maximum of 10 months at 10-30 hours per week for development of program systems and materials. Job duties include:
Assisting with fellow application
Onboarding of fellows
Record-keeping and tracking systems
Website development
Answering emails and phone calls related to the program
Ordering supplies, technology, and other start-up activities.
Job Description:
Primary Job Duties
Procurement Cards, Reallocation & Travel Arrangements 20%
Brief Duty Description: Arranges travel and reimbursements/honorarium pay for program mentors and guest speakers. Generate and review monthly program budget (s) reports using Workday. Maintains familiarity with Fort Lewis College and State of Colorado purchasing and budget procedures. P rocess purchases and travel requests; process budget related forms (i.e., transfer of funds, purchase orders, requisitions, spend authorizations, expense reports, motor vehicle requests, faculty development). Pro cess Supplier Invoice Requests for Supplier payments. Allocate personal p-card and staff p-card transactions weekly, following up with faculty on any outstanding bills, receipts, etc., ensuring that all departmental spending is reconciled by fiscal year end by working in conjunction with Accounts Payable and the Budget Office. Tracks spending in Workday and other systems.
Administrative Support 50%
Brief Duty Description: Serves as the central communication point for sharing information among division/departmental faculty, staff and prospective and current students. Answers incoming calls, voice, and email messages, and provides support to students, faculty, and community members regarding the programs. C ompose and send correspondence via email, interoffice mail and off-campus mail. Sorts and distributes mail. Oversees operation and maintenance of department office equipment including contacting IT for problems with phones, computers, printers etc., submitting work orders to Physical Plant Services for maintenance and repairs for program spaces and following up on submitted orders to ensure completion. Maintains program common area, which may include cleaning surfaces, emptying recycle baskets or dusting (if these services are not being provided by Physical Plant Services cleaning crews).
Creates and maintains student and mentors/guest tracking systems, including event attendance and program requirement tracking. Provides applicable reports to the program P.I.s, directors, and coordinator including financial, student, and such as student tracking information upon request. The Program Supervisors/P. I.s and/or Directors may assign other duties as needed to meet the ever-changing demand of the College.
Student Relations: Recruitment, Support, and Advising 20%
Creates and manages recruitment and application materials and student progress through application processes . Receives completed applications and informs students of action on their application. T racks total number of students of in various program categories . Informs students about program events and requirements . Collects, organizes, and reports data regarding enrollment and retention of program students . Assists in recruiting activities, which may include on-campus events, development and dissemination of recruitment materials, processing and tracking of financial, and other recruiting-related duties as assigned by the p rogram PIs or Director s . Serves current students by ordering needed supplies, arranging student travel logistics, and enters in Workday student stipends and student travel costs for travel reimbursement. Maintains current contact information for program fellows in all stages of program, including contact information for after graduation.
Marketin g 10%
Generate, order, and distribute program marketing materials and create bulletin boards or content for digital displays. Generate and m anage program websites, social media, newsletters, or blogs as needed.
Compensation
The hourly rate for this position is $18.00 to $20.00 per hour, pl Plus a comprehensive benefits package.
