Manager, Administrative
Job Summary
The Honors College at the University of Utah is seeking an Administrative Manager to provide support of daily administrative operations within the Honors College. Their duties will include managing office workflows as direct support to the Dean and Associate Dean, handling complex scheduling and ensuring smooth coordination of activities across the college. They will also maintain records and develop and implement procedures to improve efficiency. This position acts as a point of contact for both internal and external communication, addressing any issues that arise and ensuring that the organization's administrative support needs are met effectively.
Responsibilities
- Facilitating and handling calendars for complex, high-functioning Dean/Associate Dean positions which involves managing multiple, often conflicting, schedules. This includes scheduling meetings, appointments, and events, while ensuring that priorities are met, and conflicts are resolved efficiently. Handling these calendars often includes coordinating with other departments, stakeholders, or external parties, ensuring that all involved parties are informed, and that time is managed effectively for maximum productivity.
- Scheduling and providing meeting minutes for the Honors Policy Board which involves recording key details during meetings, including discussions, decisions, action items, and any follow-up tasks. Compile minutes into a formal document and distribute it to the attendees.
- Tracking the faculty appointment process for Career-Line faculty in the Honors College overseeing and managing the stages of retention and promotion. This includes maintaining accurate records of faculty submissions, and ensuring all necessary documentation is complete and up to date. The individual works closely with the Dean/Associate Dean to communicate key deadlines, coordinate the submission of materials, and upload required documents into the appropriate systems. They also ensure that all steps in the retention and promotion process are followed accurately and on schedule.
- The individual works directly with the Associate Dean to maintain a database of campus partners, ensuring it is regularly updated with accurate and current information. Responsible for managing and updating content on webpages that are aimed at students, college and department administrators, and thesis mentors. Ensures that information on these webpages is relevant, accessible, and reflects the latest policies, procedures, and resources for all stakeholders involved in the Honors College.
- The individual must have the ability to effectively communicate important deadlines and information to relevant stakeholders, including students, staff, faculty, and administrators. This involves ensuring that all parties are aware of critical dates and expectations, while providing clear instructions and updates as needed. Strong communication skills are essential for conveying complex or time-sensitive information in a way that is easily understood and actionable. The role requires a proactive approach to ensuring that everyone involved stays informed and on track to meet deadlines.
- The position is responsible for collaborating with the team in the Honors Center to ensure consistent coverage of the office during operating hours.
- Providing administrative support for occasional faculty searches including managing the logistics of the search process. This involves coordinating travel arrangements for candidates, including booking transportation, lodging, and meals. The individual is also responsible for scheduling interview rooms, ensuring that all necessary facilities and equipment are available, and coordinating the timing of interviews and meetings.
- This position is part of a pilot program for shared services, the primary duties are focused on supporting the Honors Center, additional responsibilities may be assigned from other disciplines within the scope of the job. This is not a complete description of all responsibilities as other duties may be assigned.
Minimum Qualifications
Bachelor's degree in a related area or equivalency (one year of education can be substituted for two years of related work experience). Four years of progressively more responsible management experience. Background knowledge of hiring department's area of specialization in order to analyze, plan and draw conclusions for recommendations to superiors. Demonstrated leadership skills in planning and directing employees and processes in order to effectively monitor and develop subordinates and to ensure the smooth operation of department. Completion of provided supervisory training within one year of employment may be required.
Master's degree in a related area may be preferred.
