Description
Governors State University is seeking to hire a Part-Time Office Support Associate for the Family Development Center (FDC) to provide overall office support and coordination for the front office and file system of the FDC. Assures patrons are greeted promptly, the phone is answered courteously and that files are maintained in an orderly fashion.
Essential Responsibilities
50% -- Front Desk/Reception:
1. Maintains a system in the front office to assure patrons are greeted promptly.
a. Monitors front door access.
b. Creates and Maintains sign-in/out lists.
c. Assures the phone is answered promptly, courteously, and correctly.
d. Answers questions and gives out appropriate amount of information in person and over the phone.
e. Checks messages on the phone and relays them as needed.
2. Maintains overall awareness of Family Development Center activities.
3. Markets the center; maintains adequate supply of enrollment packets.
4. Receives and distributes mail; opening general items, responding accordingly.
5. Responsible for maintaining the neatness of the reception desk and front office waiting area and follows a disinfecting schedule.
6. Assist Administrative team with special projects such as data entry, filing, making copies and faxing, and taking payments from parents using the credit card terminal.
30% -- Recordkeeping/Filing:
7. Makes copies of original documents and replenishes as needed.
8. Files paperwork where needed, when necessary.
20% -- Other:
Helps as needed in other areas of the FDC.
Hourly Wage: $15.53
THIS IS A PART TIME POSITION - 50% = 18.75 hours weekly
(This is an union position.)
Required and Preferred Qualifications
Minimum Qualifications:
- High school diploma or equivalent.
- Any one or combination totaling eighteen (18) months from the
categories below:
- College coursework in any curriculum as measured by the
following conversion table or its proportional equivalent:
- 30 semester hours equals one (1) year (12 months)
- Associate’s Degree (60 semester hours) equals eighteen months (18 months)
- Work experience performing office/clerical activities, including the use of computer systems.
- College coursework in any curriculum as measured by the
following conversion table or its proportional equivalent:
Preferred Experience:
• Associate's degree.
• Familiarity with Child Plus and Child and Adult Care Food Program (CACFP).
• Experience in a childcare setting.
REQUIRED ATTACHMENTS:
1. High School Diploma/GED (you may provide a copy of your college/university transcript in place of a high school diploma or GED).
2. Illinois driver's license or state ID for proof of Illinois residency.
3. Resume.
4. List of four (4) professional references.
