Position Purpose

To manage, oversee, and coordinate all administrative functions of the Center, including prioritization of multiple activities. To advise and support the Associate Director, Finance Manager, faculty, and staff on academic, programmatic, and administrative matters.

Required Qualifications - Education and Yrs Exp

Bachelors plus 3-5 years' experience or equivalent combination of education and experience

  • Excellent verbal and written communication and interpersonal skills.
  • Excellent planning and organizational skills.
  • Knowledge of financial and budget principles and procedures.
  • Ability to acquire new technical skills and implement new procedures.
  • Excellent attention to detail and accuracy.
  • Expedient and highly professional responsiveness to organizational leaders and key stakeholders.
  • Ability to work independently and as a team member.
  • Ability to exercise discretion and maintain confidentiality and security in all areas.
  • Strong commitment to a diverse working environment and to serving the needs of a large and diverse community.
  • Proficiency in Microsoft Office, Adobe, and also Canvas.
Preferred Qualifications
  • Bachelor’s degree and at least 5 years of relevant experience in a highly autonomous setting.
  • Experience with Dartmouth’s various administrative systems and software applications.

Description

Administration – Independently manages, oversees and coordinates all administrative functions and activities of the Center.

Financial and Budget Management – Collaborates in administering, reconciles, and reports on components of the Center budget in collaboration with Finance Manager and Associate Director, and within parameters set by DOF Fiscal Office.

Faculty Support – Coordinates and organizes faculty and staff searches, visiting and research faculty appointments, and other internal Center support.

Description

Curriculum Support – Collaborates with Associate Director in administering teaching course schedule and other components of faculty coordination, coordinates cross-listing of courses, communicates requirements to students, tracks majors and minors, acts as liaison for Center with Registrar’s Office. Serves as liaison with the Associate Dean regarding faculty teaching schedules.

Communication – Assists Communications Manager with maintaining the website, newsletters, stewardship, and social media.

Event Coordination – Supports existing events staff with coordination and implementation of all Center events including meetings, lectures, workshops, conferences, faculty events, guest speakers, student presentations, open houses, social gatherings, alumni events and seminars.

Information Management – Adhering to institutional policies and procedures, maintains a comprehensive array of manual and electronic records such as inventories, budgets, majors/minors records, student information and personnel files, determines retention and disposition for specific information not otherwise covered by institutional policies. Capacity to manage database software and systems required.

Facilities – Facilitates office space assignments and access issues, organizing scheduling for faculty and staff meetings with internal and external audiences.

Human Resources – Hires, trains and supervises and evaluates student employees according to Center administrative structure.

Office Management – Managing Center mail, supply ordering, and working with other departments as necessary for office administrative items like custodial, emergency management etc.
