Job Description:

Summary:
The Program Coordinator for the Project on Civic Dialogue (PCD) is responsible for the day-to-day support of PCD operations and the Director of the PCD. Responsibilities include general administration, support for programming and events, communication and website support, and facilitating all financial transactions and reporting associated with PCD. This position requires self-direction and general supervision, and may supervise student assistants as Project operations and programming require. This position is a temporary, three-year position funded through external donations. Continuation is contingent upon securing supplemental funding. Funding is currently through approximately 12/31/ 2027.

Essential Functions:
1.) Programming
  • Provide support for all faculty fellows and faculty/staff programming, including scheduling spaces, seeking feedback, and administering stipends as applicable.

  • Coordinate with the SPA Events team on PCD/Grantee catering as needed.

  • Oversee internal grants program, including mentoring grantees, coordinating with student fellow on recruitment, and collaborating on grantee training.

2.) Curriculum and Student Affairs
  • Collaborate with the director on course proposals and certificate proposals in 2024-2025.

  • Support student registration, teaching assignments, and track student completion for the Certificate in Dialogue program.

  • Provide general administrative support for all Certificate instructors and students enrolled in the program as needed.

  • Develop facilitation skills and coordinate on producing train the trainers modules and curricular resources.

3.) Budget and Personnel
  • Oversee and track the program budget, including payroll, expenditures for grants, events expenditures, travel (conferences, SNF National Student Dialogue), and faculty fellows.

  • Produce budget status and detail reports for Director as needed.

  • Ensure all payment actions for faculty, staff, students, and outside Administer the PCD internal grants program with support from the student program assistant.

  • Hire and onboard all student staff.

  • In collaboration with the Director, recruit, train, and work with student participants.

  • Provide financial operational support for externally funded projects as required.

4.) Communication
  • With the Director, update existing PCD program materials (facilitator handbook, curricula) into materials for the program.

  • Collaborating with the Director and the SPA Marketing and Communications team, revise and maintain the PCD website to include all new programming and academic offerings.

  • In collaboration with the Director, create recruiting materials and other information for the certificate program.

5.) Other duties as assigned

Supervisory Responsibilities:
  • Supervise the work of 1-2 student assistants as needed to meet the needs of the project throughout the year.

Position Type/Expected Hours of Work:
  • Full-Time.

  • 35 hours per week.

  • May include some travel and weekend/after hours work as needed.

  • This position is a temporary, three-year position funded through external donations.

  • Continuation is contingent upon securing supplemental funding.

Salary Range:
  • $29.09-$29.15 per hour.

Required Education and Experience:
  • Bachelor’s degree in Public Administration, Policy, Conflict Resolution, or other related field.

  • 1-3 years of relevant experience.

  • Knowledge of Microsoft Excel (Intermediate).

  • Excellent interpersonal communication skills.

  • Ability to work collaboratively with a variety of internal and external constituents in order to meet project goals on schedule.

Preferred Education and Experience:
  • Experience in a University environment.

  • 2-4 years of relevant experience.
