Purpose of Position
Reporting to the Director of the First-Year Student Success Hub ( FYSSH ), this position provides a key administrative role in the overall functioning of the unit, and interacts with multiple constituents including students, staff, faculty, parents, and others in a fast-paced, student-centered environment.
Some of the key roles of this job include: supervising student assistants; managing front desk operations; supporting various programs offered through FYSSH, including Pathfinders, the Peer Coach program, and New Student Orientation; and providing administrative support to the office.
Primary Responsibilities
Training /education beyond high school (two- or four-year college) plus two years’ experience or an equivalent combination of education and experience. Majors might include communication, planning, preparation, counseling and or training – e.g., Business, Communication, Event Planning, Human Services, Human Resources, Counseling, Social Work, Information Technology, Higher Education Administration, International Studies, World Languages and Culture

Primary Responsibilities
- Support the Pathfinders Program by managing the staffing of
Pathfinders study tables. Run weekly reports in EAB Navigate to
track student time & upload students’ time into Pathfinders
Canvas page. Provide administrative and direct support to the
Pathfinder Program.
- Independently supervise, hire, train, and evaluate student
assistants. Provide feedback and monitor performance. The student
assistants will primarily support the FYSSH front desk and
Pathfinders Study Tables. Assign and supervise other projects for
student assistants. Oversee the scheduling and time administration
of all FYSSH student staff.
- Manage the efficient and successful day-to-day operations of
the FYSSH front office area which includes the following
responsibilities performed primarily by student assistants: proper
welcome and check-in of new students and their families, current
students, & faculty/staff visitors; cordial and precise phone
and email response; accurate and sufficient information provided
regarding services; and appointment scheduling.
- Monitor and reconcile all budget and p-card expenditures for
FYSSH and Associate Provost. Prepare, process, and reconcile
purchases, purchase and travel requests, and travel expenses.
Handle payments for events/services and prepare deposits. Create
budget reports. Maintain records/documents/files and create related
reports.
- Provide general administrative support to office. Manage human
resources function for the department for both staff and student
positions, including search, position posting, and new
hire/termination processing. Monitor office budget and student
worker line. Schedule rooms and handle catering for
office/committee meetings, trainings. Assist with assigning advisor
assignments in SAP . Help with special projects and other duties as
assigned. Handle internal work orders for physical plant and IT as
well as work performed by external vendors. Manage office inventory
of equipment, furniture, computers, etc. Monitor and purchase
supplies, equipment, subscriptions, and other materials. Ensure
orders are received.
- Assist with new student orientation and admissions/recruitment events (i.e., preparing student packets, assisting with tabling, scheduling student appointments).
