Purpose of Position
The Academic Assistant provides administrative support to the Teacher Education Program and the Director of Educational Placements and Internships. The position focuses on supporting Teacher Education and School Leadership Programs and activities related to admissions, field, and clinical experiences.
The position also supports the addition of online accelerated programs in the college and the development and implementation of the department’s outreach and marketing geared toward increasing student enrollment.
Primary Responsibilities
Provide administrative support for clinical, field, and admissions experiences in P-12 schools and other educational settings. Correspond with school administrators and teachers and with university clinical educators regarding placement and performance of teacher candidates. Respond to inquiries from and follow-up with teacher candidates.
Provide administrative support for Accelerated Online Programs ( AOL ) for the College of Education. This support includes processing and tracking applications for Master of Arts in Education Teacher as Leader and the Education specialist in Educational Leadership programs and all other AOL programs.
Assist with on-campus and off-campus student recruitment and outreach. Help develop and disseminate marketing/publicity materials and program information. Maintain and update department website and other social media. Liaise with relevant campus units, including marketing, admissions, career services, and graduate education.
Provide administrative support for financial aspects of educational placements and internships. Process payments and travel expenses of P-12 and university clinical educators and other relevant personnel.
Maintain, manage, and update databases and records, such as college database and state-mandated records (e.g., EPSB ); confidential records of teacher candidates, interns, and university and P-12 clinical educators; school contracts in Kentucky, Ohio, Indiana, and elsewhere as needed; relevant forms, manuals and handbooks.
Assist in preparation of clinical experience seminars. Maintain and update web-based resource portal for clinical and field experiences.
Qualifications
Associate Degree plus one year related experience required.
Requires the ability to use Microsoft Office Suites proficiently (e.g., MS Word, Excel, Outlook, and PowerPoint). Proficiency with spreadsheet, database, and course management software.
Proficiency in publicity design, creation, and development. Experience with social media marketing preferred.
Competent in office management as well as strong interpersonal, organizational, and communication (oral and written) skills are necessary. Also requires outstanding customer service skills, strong attention to detail, and ability to handle multiple tasks with minimal supervision.
Must be adaptable to change, willing to embrace new technology.
