Salary Range: Up to $37,000 annualized, commensurate with education, experience and qualifications.

Hours: up to 40 hours per week, non-exempt.

Essential Functions

Job Summary

Function: To perform responsible clerical work, extensive research, equipment reconciliation, and supervisory skills in connection with maintaining data integrity in three complex campus-wide inventory systems.

Scope: Responsible for assuring equipment data system integrity, accuracy reporting, reviewing all campus-wide purchase requests, importing/exporting and reporting on data, coordinating equipment requirements/transactions, maintaining property accounting records, adjusting property records, and disposing of items on inventory records.

Core Responsibilities

Typical:
  1. Reviews all campus-wide purchase orders for controlled/capital items.
  2. Reconciles inventory and accounting data for the Annual Financial Report.
  3. Processes surplus transfers, turn-ins, disposals and monitor state transfers.
  4. Conducts extensive research for historical data and corrects transaction errors.
  5. Processes accounting transactions, reports abuse, and monitors compliance.
  6. Trains customers on current policies, procedures, and required forms.
  7. Creates and presents instructional training information materials.
  8. Creates the database template for the annual physical inventory.
  9. Creates management reports and spreadsheets from the databases.
  10. Develops the reporting plan for conducting 20% equipment audits.
  11. Responsible for asset tagging/verification at geographically separated facilities/departments.
  12. Assists with updating the departmental website.
  13. Coordinates new requirements/updates for the Inventory Barcode Scanning and Tracking database.
  14. Performs other duties as assigned.

Periodic:
  1. Responds in person to customer inquiries.
  2. Conduct spot checks of inventories in each department.
  3. Assists in training new Inventory Clerks and students.
  4. Takes a proactive approach to assist co-workers in various tasks, to ensure safety.
  5. Performs work tasks in a safe manner and per work instructions.
  6. Proactively makes recommendations to improve safety.

Required Qualifications
  • High school diploma or GED with courses in Accounting, Inventory Management, or a related field.
  • Must have a valid Texas Driver's License.
  • Five (5) years of logistics, purchasing, or inventory experience.
  • Experience with Microsoft Word, Excel, and PowerPoint.
  • Proficient using computer, barcode scanner, and standard office equipment.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Demonstrated independent decision-making and problem-solving ability.
  • Excellent verbal and written communication skills.

Working Conditions
  • Normal office conditions.
  • Requires occasional walking, squatting, pushing, lifting, and stooping in restricted spaces.
  • Occasional exposure to weather conditions.
  • May travel to other UTSA campus locations.

Physical Demands:
  • Sedentary work; sitting most of the time. Jobs are sedentary if walking and standing are required, only occasionally.
  • Exerts up to 10 lbs. of force occasionally.

This position will require working both remotely in Texas and on campus (approximately five or more days on campus per month). Travel and parking expenses are the employee's responsibility. Applicants must be adaptable and open to working in both environments.
