Johns Hopkins University supports a flexible work model which includes four different work modalities. This role has a hybrid work arrangement with an onsite presence of 3 days per week. The manager will confirm the team’s core onsite days where the majority/all team members will work in the office. Employees who travel on university business can count those days towards their onsite days.

The Fund for Johns Hopkins Medicine (FJHM) is the dedicated development and alumni relations team supporting the entities that comprise Johns Hopkins Medicine (JHM), including clinical departments, hospitals, satellite clinics, and the School of Medicine. We contribute to Johns Hopkins Medicine’s mission of patient care, research, and education through securing philanthropy, building and maintaining donor and alumni relationships, and supporting institutional priorities. FJHM partners closely with institutional leaders, faculty, and clinicians to engage alumni, patients, donors, and prospects in JHM’s work to advance medicine and improve the human condition.

The Budget Specialist will join the FJHM finance team and assist the Financial Manager in overseeing the finance department's financial and other administrative duties, including accounts reconciliation, payroll processing, and budget monitoring, as well as other related duties.

The successful candidate will demonstration an ability to work independently and to interact with representatives at various levels of the organization, responding timely to inquiries from internal and external sources in the review of accounting transactions and the resolution of discrepancies for accounts. This role uses various software applications to assemble, manipulate and/or format data and/or reports; responds to department inquiries concerning receipts that must be reflected in the account balances.

Key responsibilities: Financial Operations & Reporting (50%)
  • Perform various functions within the finance department as needed.
  • Initiated and approved documents such as travel, transfers, shopping carts, online payment requests, and forms for all the departments.
  • Assist the financial manager with annual budget submissions for development departments to SOM.
  • Perform financial review and analysis of departments, monitor budget spending, and reconcile accounts.
  • When requested, provide other ad-hoc reports to Directors and Senior Management.
  • Assist with auditing Concur transactions.
  • Assist with gift processing when needed.
  • Processing refunds and non-employee reimbursements when needed.

Payroll (50%)

  • Lead payroll analyst. Process payroll of approximately 138 FJHM employees.
  • Process weekly intern and student payroll.
  • Payroll transactions using the JHU SAP payroll system include new hires, annual increases, overtime, promotions, redistributions, terminations, leaves of absence, demographic changes, etc.
  • Create monthly payroll reports.
  • Maintain tracking system for all transactions (e.g., terminations, promotions, salary adjustments).


Minimum Qualifications
  • High School Diploma or graduation equivalent.
  • Three years of related administrative and/or budget experience.
  • Additional education may substitute for required experience, and additional related experience may substitute for required education, to the extent permitted by the JHU equivalency formula.
  • Advanced knowledge in financial software applications, databases, spreadsheets, and/or working processing is required.

  • Strong organizational and interpersonal skills
  • Ability to handle multiple assignments
  • Knowledge of Microsoft applications, Outlook, Access, Excel, and Word
  • Knowledge of SAP software
  • Strong math, analytical and problem-solving skills required
  • Ability to define problems, collect data, establish facts, analyze information and draw valid conclusions
  • Ability to maintain high degree of professionalism, judgement, and confidentiality

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.

The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
