Job Details
Under the direction of the Chairs of the German Studies; Russian, East European, and Eurasian Studies; and Global South Asian Studies Departments, provide administrative tasks in support of the faculty, staff and students. This position also supports the needs of the languages hosted by the Fries Center for Global Studies, including the Less Commonly Taught Languages program.
Responsibilities:
- Assist with the preparation of reports and proposals; write correspondence and memorandums; create flyers, brochures, newsletters, etc.
- Provide support for faculty searches, tenure and promotion cases, colloquia and special projects as needed.
- Perform a variety of administrative and secretarial services: maintain databases and generate reports and mailing lists, maintain calendars and organize meetings, manage office correspondence and procedures, and greet and work with students, faculty, visitors and other constituencies.
- Develop familiarity with relevant curricula; respond to student questions about the major/minor.
- Maintain confidential files for faculty, department and programs.
- Manage/reconcile departmental budgets for all entities; process payroll, expense reports, supplier invoices, travel reimbursements and other financial transactions, including international transactions.
- Coordinate the logistics for all department and program events (e.g., speakers and lecture series) to include scheduling, publicity, room reservations, travel (including international travel), and catering arrangements.
- Initiate and coordinate compiling course offerings using the Curriculum Development System for all entities (German Studies; Russian, East European, and Eurasian Studies; Global South Asian Studies; American Sign Language, Hindi-Urdu, Arabic, Mango Languages as well the Supervised Independent Language Program [SILP]); liaison with departmental staff to manage cross listings.
- Edit material for the course catalog and university publications .
- Assign advisors to student majors, update and maintain confidential student records.
- Update and maintain website.
- Hire and oversee student workers .
- Serve as Building Steward for Fisk Hall. Submit work orders as needed.
- Perform other duties as assigned.
This position is in the secretarial/clerical bargaining union. This position works 35 hours per week during the academic year and a reduced schedule in the summer for a total of 1547 hours per year.
Minimum Qualifications:
- Associates Degree and two years related experience or an equivalent of education training and experience.
- Previous budget management experience.
- Experience with website management.
- Demonstrated attention to detail.
- Demonstrated proficiency in Word, Excel and Outlook.
- Proven ability to manage multiple tasks.
- Effective communication and outreach skills.
- Discretion, tact, and high regard for confidentiality.
- Experience in an academic environment.
- Previous Workday and Workforce experience.

Compensation: $25.76-$30.59
