GENERAL DESCRIPTION:

This is a supervisory position responsible for leading the registration and student records management functions in the Office of the Registrar. Responsible for maintaining student academic records in accordance with university policy; providing high quality customer service related to registration and records management services; and supervising registration and records management staff and student employees. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment. Reports to the Registrar.

ESSENTIAL JOB FUNCTIONS:

1. Holds responsibility for the verification and audit of all student academic records, including verification of accuracy.2. Conducts processing and maintenance of grades, GPAs, academic status, and other critical aspects of student academic records.3. Provides effective customer service to students, faculty, staff, alumni, and outside constituents.4. Administers and provides direction to the registration and records areas; supervises staff in those areas to include hiring, training, and evaluating performance.5. Provides counseling, explores alternatives, answers questions, and resolves problems for faculty, staff, and students concerning student records.6. Adheres to requirements of the Family Educational Rights and Privacy Act (FERPA), related policies and procedures, and all other applicable laws and regulations, which includes ensuring the confidentiality of student records as appropriate.7. Stays informed of best practices related to areas of responsibility.

NON-ESSENTIAL JOB FUNCTIONS:

1. Assists with commencement ceremonies.2. Participates in professional development activities.3. May serve on committees and teams as requested.4. Assists other positions within the Office of the Registrar as needed.5. Performs other related duties as assigned.

GENERAL QUALIFICATIONS

REQUIRED KNOWLEDGE, SKILLS, AND ABILITIES:

The individual must possess the following knowledge, skills, and abilities or be able to explain and demonstrate that the individual can perform the essential functions of the job, with or without reasonable accommodation.

1. Knowledge of, or the ability to learn, university and departmental policies and procedures.2. Knowledge of, or the ability to learn, federal, state, and local regulations related to areas of responsibility.3. Knowledge of records retention and/or destruction policies and procedures.4. Skill in the use of computer applications such as spreadsheet, database and word processing software.5. Skill in completing assignments accurately and with attention to detail.6. Ability to set priorities and complete assignments on time.7. Ability to exercise sound judgment in making critical decisions and problem-solving a variety of situations.8. Ability to handle difficult and stressful situations with professional composure.9. Ability to work with and maintain confidential information.10. Ability to communicate effectively in both oral and written form.11. Ability to explain policies and procedures to faculty and staff.12. Ability to maintain effective interpersonal relationships.13. Ability to establish and maintain a good rapport with university faculty and staff, students, and the general public.14. Ability to work effectively and patiently with students and parents.15. Ability to learn office and university-specific software.16. Ability to train and supervise others.17. Ability to maintain currency of knowledge, including changes in rules and regulations related to the areas of responsibility.

EDUCATION:

Bachelor's degree is required. Master's degree is preferred.

EXPERIENCE AND TRAINING:

Three years of related experience is required. Supervisory experience is required. Experience in a registrar's office or related area is preferred. Experience with the student module in Banner ERP system is preferred.
