Faculty Affairs Coordinator- Khoury College of Computer Sciences

About the Opportunity

The Khoury College of Computer Sciences is seeking a dynamic Faculty Affairs Coordinator who will be responsible for providing support for the Khoury College full-time non-tenure track faculty under the umbrella of the Faculty Affairs team. Support includes frequent communication with the Associate Dean of the Teaching Faculty, reconciling concur reports, coordinating and assisting with full time non-tenure track faculty hiring processes.

Under the direction of the Director of Faculty Affairs, the faculty affairs coordinator will work as part of a faculty affairs administrative team who work to ensure efficient processes are created and maintained for full time non- tenure track faculty. Major responsibilities include providing support a caseload of faculty with their concur reimbursements and working extensively with faculty hiring chairs to make accommodations, coordinate teaching demos, and reconciling receipts. The chosen candidate must also be highly organized, able to schedule meetings accurately, poll for availability, book rooms, and order meals. This role has the opportunity to be hybrid and is to be determined by the business needs of the unit.

The ideal candidate is resourceful, a good problem solver, proactive, and very organized. They will work closely with the Khoury Dean's Office team as well as with faculty and staff across the University. All of these duties require high attention to detail and the ability to work effectively, and with deep discretion, under multiple deadlines. This position requires an individual that has a calm demeanor and approaches situations in a thoughtful and professional manner. This position will serve as back up to the Dean's administrative team and be assigned other duties as required.

Responsibilities:

Supporting the Teaching faculty hiring process for Khoury College
  • Will support the teaching faculty hiring chairs with hotel reservations, schedule coordination, and candidate reimbursements.
  • Compiles and prepares meeting materials. Double checks all information to confirm accuracy. Schedules and books meeting rooms. Sets up meeting rooms and prepares meeting materials and technology in space.
  • Creates and organizes visits with faculty and administrators and manages scheduling logistics and itineraries.


Supporting a caseload of faculty with reimbursements
  • Will regularly reconcile budgetary expense reports for a caseload of faculty located in Boston.
  • Provides timely processing of all expense receipts in Concur.
  • Will be the main point of contact for all teaching faculty regarding reimbursements.


Supporting the Associate Dean of Teaching faculty
  • Calendar management
  • Teaching faculty merit process
  • Teaching faculty event programming


Other duties as assigned
  • Smaller projects may arise that the faculty coordinator may need to help the Faculty Affairs team with.


Qualifications:
  • Bachelor's degree required with 2 - 4 years of office experience. Preference will be given to candidates who have experience in higher education and/or faculty affairs.
  • A successful candidate will have a high degree of flexibility, diplomacy, customer service and organizational skills with a demonstrated ability to handle multiple tasks simultaneously.
  • Able to work independently but a within strategic framework. A successful candidate will be comfortable taking initiative, but also knows when to ask for help.
  • Must possess exceptional calendar management skills.
  • Must be able to maintain high level of confidentiality.
  • Exemplary communication, time management and organizational skills required. They must be able to communicate professionally and effectively on behalf of the college.
  • Strong MS Office (Word, Excel, PowerPoint). Concur, wiki confluence and LaTeX experience a plus, but not required.
