The UM Broader Impacts Group (BIG) is recruiting an Administrative Associate Manager to support operations for BIG and its six programs that put UM research to work for the benefit of the public: spectrUM Discovery Area, the Autonomous Aerial Systems Office, the Office of Undergraduate Research, the Spatial Analysis Lab, the Philip L. Wright Zoological Museum, and We Are Montana in the Classroom. The person in this role manages all administrative and accounting functions for BIG’s program directors, principal investigators, and other key staff.
The Administrative Associate Manager performs diverse and complex functions with minimal supervision that require initiative, excellent judgment, discretion, and understanding of UM policies, procedures, and operations. The person in this position is expected to communicate proactively and efficiently with BIG’s staff and stakeholders.
The Administrative Associate Manager is responsible for:
- Practicing sound accounting for financial procedures to ensure BIG’s accuracy and compliance
- Performing all accounts payable and receivable functions, including independently managing processes involving vendors and complex financial transactions
- Managing payroll for BIG’s contract professional, classified, and student staff, as well as all of BIG’s other HR processees
- Manage BIG’s sales and service accounts, including depositing, tracking, and balancing, as well as providing timely updates to relevant staff
- Processing, developing, and maintaining accounts payable, including processing requisitions, purchasing orders, reconciling travel, and other accounting functions
- Conducting trainings for managers and new employees on BIG’s internal processes, as well as referring BIG staff as needed to other UM trainings and resources
- Maintaining current, in-depth knowledge of UM policies and procedures and providing relevant guidance to BIG’s staff
- Responding promptly and effectively to questions and concerns and referring inquiries to the appropriate person or office when higher-level involvement is warranted
- Identifying actual and potential noncompliance and proactively educating and supporting staff to become compliant
- At least a high school diploma or GED and two years of related professional experience
- Demonstrated organizational, time-management, and multi-tasking skills and ability to meet deadlines in a busy environment with attention to detail and autonomy
- Familiarity with recordkeeping and tracking
- Excellent customer service and oral and written communication skills
- Ability to learn and apply university policies and procedures
- Strong working knowledge of Microsoft Office applications, including Word, Excel, and Outlook
- Ability to problem-solve, make decisions using good judgment, tact, and sensitivity, and properly handle confidential and sensitive information
- Ability to work collaboratively and collegially as a team and with people from diverse backgrounds
- Demonstrated ability to act independently and autonomously with the wisdom to seek advice when necessary
- Demonstrated interest in the missions of the University of Montana, BIG, and BIG’s programs
- Previous experience working in a multi-faceted organization
that provides services and programs
- Experience with UM systems
Position Number: 297180
Work Schedule: Full-time, 1.0 FTE (40 Hours a week), 12-hour rotating shifts, 12 months/year
Probationary Period: Six (6) months minimum
