Required Qualifications:
  • Bachelor’s Degree

Preferred Qualifications:
  • At least 1 year of experience working in the field of federal and state compliance in a higher education setting.
  • Experience with Enrollment Manager data system.
  • Experience with state and/or federal reporting.
  • Experience working with veteran/military students as a VA benefit processor/SCO.
  • Able to travel to attend state and regional conferences.


Job Description:
The purpose of this position is primarily processing both federal and state benefits earned by Veterans of the US Armed Forces to ensure Texas State remains compliant with all federal and state regulations. This entails determining which courses are certifiable using degree plans, transcripts, etc. and certifying tuition and coursework for payment for all GI Bill® benefit programs and determining Hazlewood Exemption eligibility by vetting documentation submitted by students. There is also an advising/counseling component when relaying to our military connected students and their parents how the application process for VA educational benefits moves forward at Texas State.

Job Duties:
  • Process military educational benefit requests (GI Bill®, Hazlewood Act, misc. tuition adjustments).
  • Report changes in coursework/payment. Notify students of problems in a timely manner so that administrative changes can be made before deadlines.
  • Audit VA student files, certifications, and corrections for accuracy/documentation.
  • Review and data enter through the Enrollment Manager data system to certify coursework for VA payment. Preparing and sending electronic certifications and changes, as required.
  • Reporting data to Texas Veterans Commission for Hazlewood on a semester basis.
  • Monitoring progress toward degree requirements, evaluating and maintaining academic records and continuously auditing for accuracy and compliance with Veterans Benefits Administration, Texas Veterans Commission, and university rules and regulations.
  • Advise students on request process for VA Educational Benefits.
  • Assist customers via email, phone, and in person, in a courteous and professional manner.
  • Provide general information to students, faculty and staff about VA education benefits and Hazlewood Act benefits.
  • Assist with presentations for New Student Orientation (NSO) sessions, Bobcat Days, and other outreach events.
  • Establish and maintain federal and state training requirements as a School Certifying Official (SCO).
  • Assist in training of Veterans Affairs (VA) work study employees
  • Process authorizations to our business office for Hazlewood and Chapter 31 & 33 tuition adjustments.
  • Maintain discretion of student’s personal information per FERPA and VA Privacy Act.
  • Maintain professional appearance and provide excellent customer interactions.
  • Able to interact with a varied customer population.
  • Work hours other than 8-5, M-F if needed.
  • Assist in achieving departmental goals.
  • Additional duties as assigned.
