Job Description:

The Precollege Programs department is currently seeking an Office Associate to provide comprehensive administrative support, assist in office management, and optimize various functions such as faculty support, registration, and student services. The Office Associate will act as a primary liaison between different departments, systems, and stakeholders, ensuring smooth operations and data integrity in registration and student services, while also maintaining effective communication channels with internal departments and external vendors. The ideal candidate should demonstrate professional communication skills, the ability to work independently and multitask, and possess strong problem-solving abilities. This role requires a highly organized individual capable of managing multiple priorities and deadlines with exceptional attention to detail.

Responsibilities:

  • Oversee student communications generation and maintenance. 
  • Manage student profile information and data. 
  • Handle enrollment transactions using Precollege unit systems. 
  • Generate and manage student data and enrollment transaction reports. 
  • Process student data for scholarship, internal sponsorship, and partner programs.
  • Ensure collection and maintenance of required student documents for in-person and remote programs. 
  • Assist in survey and attendance collection. 
  • Act as primary liaison for existing registration systems. 
  • Address technical issues and coordinate testing processes for registration and third-party systems. 
  • Ensure effective operation, seamless registration procedures, and data integrity.
  • Assist in managing registration data with the Office of the Registrar, including course creation and section scheduling. 
  • Offer course registration, portfolio, and Admissions guidance to Precollege families and students. 
  • Provide Precollege faculty support, including class setup, materials, troubleshooting, and resource availability. 
  • Verify completion of grading for all classes and provide technical assistance and training to instructors. 
  • Oversee refund requests, invoicing processes, and third-party payments. 
  • Ensure comprehensive settlement of all student accounts for each program/semester.
  • Assist in preparing Payroll calculations and submit action forms. 
  • Purchase materials and process reimbursements for workshop program instructors.  
  • Assist with logistics and provide support for Precollege events. Must be present for all Precollege events on evenings and weekends as needed. 
  • Provide administrative support in accessing student transcripts and addressing inquiries from students and instructors. 
  • Offer email, telephone, and reception coverage, including troubleshooting and disseminating information on policies and course offerings. 
  • Support day-to-day office functions. 
  • Contribute to a collegial work environment. 
  • Execute additional tasks and projects as assigned to support the operations of the office.

Requirements:

Minimum Qualifications:

  • Associate's degree required. 
  • 3-5 years of appropriate business experience.

Preferred Qualifications:

  • Bachelor's degree preferred. 

Knowledge, Skills, & Abilities:

  • Excellent verbal, written, and interpersonal communication.
  • Knowledge of office administration principles and procedures.
  • Strong customer service and administrative support skills, proficient in assessing needs, maintaining quality standards, and evaluating satisfaction.
  • Proficient in Google Suite (Drive, Docs, Gmail, Sheets, Forms) and Microsoft Office Suite (MS Excel, Word, PowerPoint).
  • Effective time management and organizational skills.
  • Self-motivated with the ability to work independently.
  • Effective analytical and problem-solving skills, with attention to detail. 

Additional Information:

Please note all offers of employment are contingent upon successful completion of the background check process.

Salary 

Salary: $60,804.22 - $65,162.72 per year 

The UCE-FIT Collective Bargaining Agreement (CBA) dictates the compensation, benefits, and conditions of employment. Hiring Salary: $60,804.22 per year with step increments per Salary Schedule 91, after one year of service and annually thereafter.

Work Schedule

Days/Hours: M-F, 9am-5pm and T-S, 9am-5pm when programs or events are in session, in person; work schedule subject to change based on needs of the department.

Physical Requirements and Work Environment

The working conditions for this position will be on campus primarily in an office environment. The physical requirement for this position will require occasional sitting, constant standing, occasional bending, frequent walking, and occasional lifting 10 lbs. or less.
