Professional Experience/ Qualifications
  • A minimum of 7 years of related work experience, particularly in the areas of budgeting (prioritizing opportunities, aligning budget with priorities, and sound financial management of divisional resources), personnel management, and strategic planning
  • Proven ability to lead institutional change, manage complex projects, problem-solve complex situations, build consensus, and establish trusting relationships
  • Strong organizational, analytical, and communication skills

Department Statement

Colgate University seeks an experienced, visionary leader for the role of Associate Provost for Administration and Planning. This senior-level position reports to the Provost and Dean of the Faculty and provides strategic leadership and operational oversight for the academic enterprise’s business, finance, and administrative operations. The Associate Provost is responsible for ensuring alignment of resources with institutional priorities while managing complex projects, building consensus, and developing solutions that foster innovation and efficiency.

Accountabilities

Broadly, the work of the Associate Provost falls into four categories: strategy, finances, people, and spaces.

Accountabilities:
Reporting to the Provost and Dean of the Faculty, the Associate Provost for Administration and Planning holds a vital leadership role within the division. The role is primarily responsible for providing strategic leadership and operational oversight for the academic enterprise in the areas of budget and financial planning, staffing and human resources, facilities, and policy development. The Associate Provost also supervises or liaises with designated administrative offices, undertakes various special projects and strategic planning initiatives, and serves as an integral member of the Provost/Dean’s leadership team.

Strategy and Administration
Strategic Leadership and Operations: Lead strategic initiatives as assigned; support the strategic planning of other offices within the division; provide analyses and recommendations to support decision-making; provide leadership in the definition, development, and implementation of divisional policies and processes; support fundraising efforts.

Committee Leadership: Participate in governance and other university committees as assigned, contributing to areas such as campus planning and university resources, sustainability, safety advisory, emergency operations, budget & financial planning, museums, Chapel House, and benefits; serve as staff to the Academic Mission and Prog]ram committee of the Board of Trustees; chair the Committee on Intellectual Property, including supporting faculty in applications for patents and inter-institutional agreements.

Fiscal Resource Planning and Management
Budget and Finances: On behalf of the provost, accountable for the strategic alignment and effective oversight and planning of the operating and compensation budgets for the academic enterprise; works in collaboration with the budget office to shepherd the annual budget development process for the division, including development of the annual faculty salary budget; completes the annual report of faculty salaries; ensures effective stewardship of divisional financial resources (e.g. endowments, reserves, startup funds, and grants); provides analyses and recommendations on budget matters; finds creative solutions to budget challenges; and serves as the primary liaison between academic units and the finance/administration offices.

Human Resources
Staffing and Human Resources: Accountable for the oversight of staffing and human resources for the PDOF division, inclusive of salaries, staff hiring and assignments, and staff development; ensures staff assignments align with divisional priorities and institutional goals; fosters a collaborative work environment that encourages innovation, skill development and teamwork; oversees the annual staff evaluation and salary setting processes for the division; in partnership with Human Resources, supports staff and supervisors in matters related to expectations and performance; and serves as a liaison between academic units and the human resources office.

Administrative Office and Staff Oversight: Accountable for direct supervision of or liaison to administrative offices and staff within the division. The assignment of these offices may evolve based on organizational needs. Most recently, these offices have included Information Technology Services, Colgate University Museums, Chapel House, and the Office of Sustainability. The role involves ensuring that these offices operate efficiently and are aligned with the university’s broader institutional goals

Physical Space Planning and Allocation
Facilities: Accountable for taking a lead role in selected matters related to capital planning and other space management for the division; participates on university committees for conceptual planning, new construction, and major renovation projects; works in collaboration with facilities to shepherd the annual repair and restoration (R&R) process for the division; responds to space-related concerns; and serves as a point of contact between academic units and facilities.
