Job Summary
The Center for Social Equity and Inclusion (SEI) at Rhode Island School of Design (RISD) seeks a Coordinator & Administrative Assistant to provide a wide variety of detailed and complex administrative and logistical support. The Center for SEI is RISD’s central hub for cross-cultural collaboration and the staff is made up of thought leaders and practitioners who engage the community with authenticity and an unwavering commitment to the work. The daily responsibilities include working in support of the VP & Associate Provost for SEI and the Dean of Faculty to proactively manage and maintain complex and dynamic calendars and overseeing logistics for events and workshops with guest artists and scholars. The ideal candidate is adept at completing projects in a deadline-driven environment and coordinating and communicating with a variety of individuals at all levels with thoughtfulness and diplomacy. This role also prepares, distributes, and archives meeting materials and minutes and manages communications for the Center and Teaching & Learning Lab, including a monthly newsletter.
The Coordinator & Administrative Assistant also provides comprehensive administrative and logistical support to the following units:
SEI Faculty Steering Committee
SEI Faculty Research Fellows and other committees
SEI student-based initiatives
We seek a culturally competent candidate whose professional practice is aligned with advancing the principles of social equity and inclusion, environmental and climate justice, and equal access to resources and opportunities.
Essential Functions
- Provide a wide variety of administrative support to the Dean of
Faculty and V.P. & Associate Provost for SEI and Associate Dean
for Student SEI. Organize regular and standing committee meetings,
maintain calendars, arrange travel and logistics, and prepare
meeting materials, including but not limited to, minutes, agendas,
and reports. Proactively prompt and initiate follow-up on action
items as designated.
- Coordinate activities of the Center for SEI and Teaching and
Learning Lab. Oversee event and workshop logistics including
communication with guest artists and scholars. Ensure communication
of promotional materials across campus as directed and coordinate
printing and distribution.
- Provide comprehensive administrative support to the SEI Faculty
Steering committee and support for the SEI Faculty Research Fellows
and other committees as assigned by the VP and AP for SEI and Dean
of Faculty. Provide logistical support to enable student success of
SEI’s student-based initiatives which may include SEI student
employees, key initiatives, and high-level institutional
programs.
- Maintain the budget for the Dean of Faculty and V.P. &
Associate Provost SEI offices. Process and track expenditures,
ensuring that all charges have correct account and object codes,
and liaise with relevant offices as needed. Support SEI awards as
directed, confirm movement of applications through to final
decision; advise and assist recipients with purchases; reconcile
purchases; maintain and reconcile final budget.
- Maintain and update the SEI website and all electronic
communication with the campus community, including the creation of
a regular SEI newsletter.
- Assist, as needed, with the organization, coordination,
procession, and assembly of Commencement and other institution-wide
ceremonies and events.
Required Knowledge/Skills/Experience
- Computer experience required, including experience in
maintaining and developing a website. Demonstrated understanding of
Word, Excel and other MS office products, as well as Google sites
and internal online supports such as WebAdvisor. Ability to post
and update internal web page information or documentation.
- Excellent interpersonal, communication, telephone and online
skills.Ability and experience working effectively and
collaboratively with others and a clear ability to engage myriad
cultural perspectives. Must be able to discern and maintain
confidentiality as appropriate for particular exchanges and in
processing records and files.
- Demonstrated ability to work in a high impact,
deadline-oriented environment where initiative, attention to detail
and ability to work on multiple projects simultaneously is
required.
- Requires tact, discretion, and composure under pressure.
Ability to communicate successfully with a diverse range of people
and proactively shepherd tasks to fulfillment.
- Minimum of five years’ experience providing administrative
support with experience supporting a senior executive or senior
management level. Bachelor’s degree or equivalent combination of
education and experience.
