The Heinz College of Information Systems and Public Policy seeks a Project Administrator who is organized, diligent, curious, and capable of a wide range of administrative tasks. This role will support university research center operations and events for the CMU/NIST AI Measurement Science and Engineering Cooperative (AIMSEC) Research Center and a collection of related research initiatives.

In this role, you will report to the AIMSEC executive director and collaborate with them and the faculty director to provide comprehensive administrative support to ensure the efficient execution of tasks, programming, and events. This role will include coordination with CMU faculty and staff as well as private sector and government partners.

Core responsibilities will include:
  • Tracking and assisting with leading projects, project timelines, status, budgets, and expenditures; handling monthly account reconciliations and processing corrections.

  • Having a detailed understanding of reporting requirements and results and ensuring that tasks are tracked and completed promptly.

  • Supporting the development and execution of programmatic assets such as websites, summaries, and end-of-year reports.

  • Arranging and coordinating meetings, special events, workshops, and conferences of various sizes both inside and outside the university. This includes arranging VIP and large-scale events.

  • Supporting transactional activities such as scheduling travel, ordering supplies, and publicizing events.

  • Gathering information to support requests, reports, and related proposals.

  • Handling general administrative support functions such as research reporting, expense reports, calendar management, purchasing, filing, and handling phone calls.

  • Ensuring compliance with university and sponsor policies

  • Creating and maintaining simple to advanced presentations and other documents

  • Acting as a liaison and primary point of contact for various tasks and projects

  • Maintaining confidentiality, assisting with faculty member’s webpage regarding publications, papers, awards, etc.

Qualifications:
  • Bachelor's degree in business, business administration, computer science or related field

  • At least one year of project management experience

  • A combination of education and relevant experience from which comparable knowledge is demonstrated may be considered.

Additional Information:

Work Posture: This position is operating on a full-time schedule, with an on-campus/in-office presence 5 days a week.

Work Schedule: This is a full-time (37.5 hours per week), exempt position based in Pittsburgh, PA.

Fixed Term: This is a fixed-term position with an estimated duration through September 30, 2026, with the possibility of continuation based on performance and funding.
